Join our amazing Workplace Operations team and become part of a dynamic group of Workplace Managers spread across the globe! From London to Cologne, Wiesbaden to Kuala Lumpur, and Toronto—our team is the heartbeat of fun at The Adaptavist Group.
They're the organisers behind our office fundraising days, potlucks, and the hosts of key community events across our global offices. Plus, they’re the ones making sure our incredible employees have everything they need (and more!) when they choose to work from one of our office spaces.
About the role
We’re on the lookout for a confident, outgoing, and reliable Office Coordinator to join us full-time in Athens for a 12-month maternity leave cover. In this role, you’ll be the go-to person for all things office-related! You’ll tackle administrative tasks, organise office events, and ensure operations run smoothly—all while bringing your energy and enthusiasm to the workplace. You’ll also help maintain company policies, keep the team motivated, and make sure everyone has what they need to work efficiently.
The ideal candidate is someone who can take initiative, prioritise tasks, and work independently. You’ll be self-motivated, trustworthy, and driven to create an office environment that reflects our vibrant culture.

What you'll be doing

  • Oversee operations across Adaptavist’s Athens office
  • Ensure the smooth running of the office on a day-to-day basis
  • Open and close the office on a daily basis
  • Be the first point of contact for visitors to the office
  • Liaise with staff, suppliers and clients
  • Implement and maintain procedures/office administrative systems
  • Coordinate meetings and any catering or refreshments
  • Coordinate any office events and any catering or refreshments
  • Keep track of office supplies and place orders when necessary
  • Keep a detailed record of spending, overheads and anticipated costs for the office
  • Manage agendas/appointments etc. for the team where needed

What we're looking for

  • Proven experience as an office administrator, office assistant or relevant role
  • Familiarity with office management procedures and basic accounting principles
  • Knowledge of Google Suite and Office management software
  • Self-starter, independent thinker - able to work autonomously
  • Personable, helpful, professional, kind, and honest attitude
  • Time management and personal organisational skills
  • Comfortable working collaboratively, both face-to-face and through online tools such as Zoom, Microsoft Teams, Slack, Skype, etc.
  • Strong organisational skills and interpersonal skills.
