Overview

We’re looking for an experienced Executive Assistant to join the Xbox Game Studios team. Someone who thrives in fast paced environments, loves bringing order to complexity and enjoys making the people around them shine.

Reporting to the Chief of Staff and supporting the Head of Xbox Game Studios, you’ll be a trusted partner who keeps schedules smooth, comms flowing and travel stress free.

This is a role at the heart of Xbox Game Studios, connecting and collaborating with some of the world’s most creative and iconic game teams, and helping our leaders stay focused on what matters most - building and launching great games for players everywhere.

Responsibilities

Orchestrate seamless travel and logistics:

  • Own executive‑level travel planning across UK, US, and beyond.
  • Manage visas, ground transportation, itineraries, and expense reconciliation with accuracy and speed.
  • Support visiting teams (UK + international) with great recommendations, logistics, and local insight.
  • Work with external vendors and multiple studios to coordinate visitor arrangements from airport to studio door.

Support the smooth flow of XGS operations

  • Partner with the Head of Xbox Game Studios and Chief of Staff on smart, efficient calendar management.
  • Partner with teams and studios to build visit agendas and itineraries that make studio tours productive, engaging, and friction‑free.
  • Support the planning and hosting of XGS All Hands, offsites, conferences, and key events.
  • Contribute to Rhythm of Business updates around launches, events, and studio celebrations.

Be a trusted connector across the organisation

  • Build strong relationships with Executive Assistants, Studio Leaders, and the wider XGS leadership group.
  • Serve as a professional, courteous first point of contact for Xbox Game Studios.
  • Handle sensitive information with integrity, discretion, and excellent judgement.
  • Help coordinate office space assignments across multiple locations, even if remote.

Keep us organised, aligned and always improving

  • Track training and learning participation across studios.
  • Capture, track, and help action meeting follow‑ups.
  • Spot process gaps and bring smart, creative solutions to how we work

Qualifications

  • You keep order in complexity and juggle multiple moving pieces with ease.
  • You anticipate needs, sequence tasks intelligently, and know when to escalate or ask for help

Communication excellence

  • Clear, confident, concise communication — written and verbal.
  • You build trust, navigate different personalities, and read the room.

  • You operate with autonomy but collaborate openly.
  • You take initiative and solve things before they become problems.

Tech and tools agility

  • Comfortable with scheduling, collaboration, travel booking and comms tools (Microsoft-first)
  • Willing and eager to explore new systems and share what works.

Global mindset from a UK base

  • You're based in the UK but have a strong understanding of international logistics - especially across the US and Europe - and can navigate time zones, travel requirements, and cross‑studio coordination with confidence

Bonus:

  • Experience running All Hands, offsites, or events for distributed teams
  • Knowledge of the games industry
  • A flair for creative, fun ideas that make events, visits, and moments memorable
