Reporting to the Chief Executive Officer for Europe and working with members of the management team and board, you will be a proactive trusted partner to senior leaders, ensuring their time, priorities, and operations run seamlessly. You will assist to optimise workflows and strengthen organisational effectiveness and high-quality execution. At the same time, you will oversee the smooth running of the workplace and office operations across our European locations, creating a welcoming environment that enables teams to perform at their best.
Your role includes:
Leadership Support & Coordination
Proactively manage complex schedules, ensuring priorities are protected, meetings are well‑planned and preparation time is safeguarded, keeping a solutions‑oriented approach in a fast‑paced environment.
Coordinate international travel, including logistics, accommodation, itineraries and expense processing.
Handle confidential and sensitive information with absolute discretion and professional judgment.
Team Support, Governance & Meetings
Support governance and operational meeting cycles by preparing and coordinating meetings and meeting materials, distributing documentation and working closely with the Company Secretary.
Plan and coordinate team events, workshops, offsites, and leadership sessions, ensuring high-quality logistics, clear communication and strong stakeholder alignment.
Facilitate internal communication and all-hands meetings by ensuring teams have the information, context, and resources needed to operate effectively.
Maintain light budget oversight for office operations (e.g, supplies, events, suppliers), ensuring accurate tracking and cost awareness.
Office Management & Workplace Operations
Oversee the smooth daily running of our European office locations (Amsterdam, Paris, and future sites), ensuring a welcoming, efficient and productive environment.
Coordinate workplace services including visitor management, parcel handling, and general office supplies and enquiries.
Manage vendor and supplier relationships, ensuring timely maintenance, quality service delivery and compliance with our workplace standards.
Support onboarding tasks such as building access, desk setup, and coordination for new joiners and leavers.
What you’ll bring:
To excel in this role, you’ll also need:
3+ years of experience as a leadership coordinator or executive assistant in a fast‑paced, growing environment.
Strong organisational skills with the ability to manage multiple priorities effectively.
Strong stakeholder‑management and relationship‑building skills.
Excellent verbal and written communication skills, with high proficiency in English.
Comfortable using a variety of technology platforms, including AI tools and open to learning and adopting new tools. We work in MS SharePoint environment.
Strong cultural awareness and sensitivity, with a commitment to fostering an inclusive workplace.
High level of confidentiality and discretion.

Our hiring process and what you can expect:
Application: a member of our talent acquisition team will review your application against the key requirements for the role and let you know within two weeks whether you’re moving forward to the next stage;
Screening: You’ll spend 30-45 minutes speaking to one of our recruiters learning more about the role and ClearBank, and we’ll get it know more about you, your experience and how your skills align with the role (this will be via phone or Teams video call). You can expect to hear back from us within seven days following this meeting (if things are taking longer than expected, we’ll let you know that too);
First Interview: You’ll spend one hour with a member of our hiring team focusing on your skills, competencies and your ways of working at the same time we’ll give you time to ask more questions about the role, the team and learn more about the ClearBank culture. This will be via Teams.
Second Interview: This will be a competency-based interview with one or more members of our team.
Final Stage: You will have a final meeting with the Head of Department. This will be around 45-60 minutes.
