Do you love animals... and spreadsheets?

We're looking for an exceptional Office Administrator to join our team at the world's first beluga whale sanctuary.

This isn't your typical office job.

One minute you'll be helping our UK Finance team process invoices and budgets, the next you'll be coordinating VIP guest experiences, translating Icelandic documents into English, or supporting conservation projects that help protect marine life.

And yes... you'll be working just steps away from Little Grey and Little White, our two rescued beluga whales.

What you'll be doing

As the organisational hub of the sanctuary, you'll support our leadership team, finance colleagues and operational teams to ensure everything runs efficiently.

No two days are the same, but your responsibilities will include:

Finance & Administration

  • Supporting our UK-based Finance team with invoice processing, purchase orders and supplier administration.
  • Processing petty cash, online refunds and donations.
  • Helping manage budgets and month-end administration.
  • Translating invoices and financial documents from Icelandic into English where required.
  • Ensuring finance processes are accurate, compliant and completed on time.

Guest Experience

  • Managing guest enquiries by phone and email.
  • Coordinating VIP experiences, guided tours and group bookings.
  • Managing the sanctuary diary and booking calendar.
  • Supporting guest satisfaction by ensuring every enquiry receives an outstanding response.

Operations

  • Supporting the General Manager and Leadership Team with day-to-day administration.
  • Managing office supplies, uniforms and site records.
  • Maintaining training records, contractor information and operational documentation.
  • Supporting Health & Safety administration and reporting.
  • Helping different departments stay organised and connected.

Making a Difference

Every invoice you process, booking you organise and problem you solve helps support the care of rescued beluga whales and the wider conservation work of the SEA LIFE TRUST.

Qualifications & Experience

You'll be someone who enjoys bringing order to busy environments and takes real pride in getting the details right.

We're looking for someone with:

  • Fluency in both Icelandic and English (essential).
  • Excellent organisational and administrative skills.
  • Outstanding attention to detail, particularly when working with numbers and financial information.
  • Experience in an office, finance or administrative role.
  • Strong IT skills and confidence using Microsoft Office.
  • The ability to prioritise multiple tasks and work independently.
  • A proactive, positive attitude with excellent communication skills.
  • A genuine passion for wildlife, conservation and guest experience.
