We’re looking for an Facilities and Ops coordinator to help further our growth.

Job Summary

The Facilities & Ops Coordinator is responsible for managing the day-to-day running of our offices in Nottingham, Manchester and London (primarily Nottingham). In addition to providing typical office management duties, the role will provide support to the wider operations team, including People, Finance, Systems and IT.

This role will be for a 12 month fixed term contract, for 3 days per week (Tuesday, Wednesday, Thursday), and is required to be in the office in Nottingham during office hours on those days. There may be the possibility to extend this beyond this after 12 months, which will be discussed at that point in time.

Responsibilities


Facilities management

  • Answering calls and directing messages
  • Greeting clients and visitors
  • Arranging refreshments and catering
  • Ordering stationery, equipment and furniture
  • Managing deliveries and post
  • Managing general enquiries email inbox
  • Managing meeting room bookings
  • Managing car parking bookings
  • Managing the kitchen facilities & office space
  • Arranging office maintenance and servicing
  • Working with cleaners to ensure the office is clean and tidy
  • Providing new starter inductions for the office space

IT & Systems Support

  • Managing Impression’s IT inventory
  • Managing IT hardware requests and repairs
  • Providing new starters with hardware
  • Managing our active directory, and providing new starters with the right permissions and accesses
  • Liaising with our IT managed service provider for any issues that need escalation
  • Providing other limited support for specific platforms used by the business from time to time

Operations support

  • Limited admin support to the wider operations team on ad hoc tasks
  • Supporting the senior management team with tasks and projects as required
  • Booking transport and accommodation (in support of the Finance team)


Person Specification


Technical Skills

  • Excellent computer and technology skills. Familiarity with Google Workspace is desirable, but not essential
  • Good time management skills
  • A high level of attention to detail
  • Ability to multitask and work to tight deadlines

SALARY: £24,500 - (£16,333 per annum based on 3 days a week - pro rata)

Please note, this role is a not a remote role and will be based in our Nottingham Office, in line with our flexible working policy. We look to hire candidates who are no more than a 90 minute journey away from our office locations to ensure your personal time is protected and that you're able to travel into the office when necessary.
