What to expect:
We are seeking a highly motivated and organised individual to join our Operations team as a Facilities Coordinator for our brand new, state of the art office facilities in Oxford. In this dynamic role, you will ensure the positive and efficient functioning of our office environment. Your contributions will support all organisational levels across multiple sites, enhancing the effectiveness of our physical office space with consideration for our remote and hybrid teams.
You will play a crucial role within the established Operations team, working closely with the People functions. This unique position offers visibility across various business areas, allowing you to make a significant impact on our day-to-day operations.
The Facilities Coordinator supports the safe, compliant, and efficient operation of the organisation’s offices, laboratories, and controlled environments. This role is a hands-on operational support position, bridging soft facilities services, hard FM coordination, and EHS administration, enabling the Facilities and Health & Safety teams to focus on technical delivery, risk management, and strategic development. The role is critical to maintaining high standards across a growing R&D environment and supporting the organisation’s expansion into new facilities.
What you'll be responsible for:
The Facilities Coordinator plays a key role in ensuring the smooth, safe, and efficient day-to-day operation of our workplaces, offices, and laboratory environments. Acting as a central point of coordination between internal teams, service providers, and the wider Facilities function, this role supports both soft and hard facilities management activities, with a strong focus on workplace experience, compliance, and operational excellence. The Facilities Coordinator will be highly organised, proactive, and comfortable working across multiple sites, priorities, and stakeholders.
In this position, you’ll be responsible for:
- Workplace Operations: Day-to-day coordination of facilities services across offices and laboratories, ensuring spaces are safe, functional, and well presented
- Facilities Helpdesk & Queries: Acting as the first point of contact for staff facilities requests, issues, and general workplace queries
- Soft FM Services: Management of cleaning, waste, consumables, meeting rooms, furniture, and overall workplace standards
- Space Management: Desk moves, minor layout changes, furniture coordination, and operational setup to support teams and visitors
- Visitor & Site Logistics: Visitor access, inductions, badges, meeting coordination, and site logistics in line with security and safety requirements
- Planned Maintenance Support: Raising, tracking, and closing Planned Preventative Maintenance (PPM) work orders and following up with service providers
- Contractor Coordination: Contractor inductions, site access, scheduling, and maintenance of records including RAMS, insurance, certifications, and completion evidence
- Permit-to-Work Administration: Issuing, logging, tracking, and closing permits to work in line with internal procedures (excluding authorisation)
- Facilities Documentation & Assets: Maintenance of facilities documentation, asset registers, logs, and trackers within Google Workspace
- Health, Safety & Compliance Support: Management of H&S training records, incident reporting, audit evidence, and risk assessment administration
- Projects & Change Support: Coordination and administrative support for facilities-led projects, fit-outs, moves, and operational readiness activities
- Reporting & Performance Data: Maintaining dashboards and reports on facilities KPIs including PPM completion, incidents, and service performance
Requirements
- Facilities or Operations Experience: Prior experience in facilities, workplace, operations, or compliance support roles, with an understanding of how day-to-day coordination underpins safe and effective environments
- Regulated Environment Exposure: Experience working in, or supporting, regulated or controlled environments such as laboratories, healthcare, R&D, manufacturing, or similar technical settings
- Organisation & Coordination Skills: Strong organisational skills with the ability to manage multiple tasks, priorities, and stakeholders while maintaining accuracy and attention to detail
- Stakeholder & Contractor Communication: Confidence communicating clearly and professionally with contractors, service providers, vendors, and internal teams at all levels
- Documentation & Data Management: Comfort maintaining trackers, logs, registers, and documentation, with a disciplined approach to version control and audit readiness
- Digital Tool Proficiency: Strong working knowledge of Google Workspace (Docs, Sheets, Drive), with the ability to manage shared documentation effectively
- Facilities Management Awareness: Exposure to supporting hard and/or soft FM services, with an understanding of how facilities operations are delivered and monitored
- Health, Safety & Compliance Awareness: Working awareness of health, safety, and compliance processes, including incident reporting, inductions, and basic risk management
- Maintenance & Systems Exposure: Familiarity with Planned Preventative Maintenance (PPM), CAFM systems, or asset registers, or a strong willingness to learn
- Technical or Lab Environment Experience: Experience working in lab, cleanroom, or other technical environments, with an appreciation for controlled processes and standards
- Proactive & Reliable Mindset: A proactive, organised, and dependable approach, with the confidence to chase actions, follow up issues, and maintain high standards
- On-Site & Development Focus: Comfortable working on-site in a hands-on, technical environment, with a genuine interest in developing a long-term career in facilities or operations
