What you’ll do
• Diary and Meeting Management
Organise international meetings, maintaining awareness of cultural differences and time zones; use sound judgment to prioritise requests and negotiate meeting arrangements to ensure Vodafone’s positive external image. Coordinate weekly, monthly, and quarterly team meetings.
• Travel & Event Planning (Team offsites etc)
Manage end-to-end travel arrangements (including visas), booking flights, hotels, transfers, and related logistics.
• Meeting Preparation & Presentation Support
Chairing internal functional meeting, coordinate agendas, pre-reading materials, and assemble daily meeting packs. Prepare high-quality presentations and briefing documents for internal and external engagements, ensuring clarity and impact for senior stakeholders.
• Project Coordination & Reporting
Support special projects, able to prepare project management plans, tracking progress, preparing concise status updates, and maintaining simple reporting dashboards. Assist in governance activities and ensure timely delivery of project milestones.
• Budget Oversight & Administrative Management
Raise purchase orders through EVO, monitor budget and spend, and highlight performance monthly. Maintain team administration (DLs, org charts, phone lists) and ensure compliance with Vodafone policies.
• Interest in learning PLC Board process – Board and committee meetings, board packs, agendas, minutes, meeting coordination. You will need attention to detail and be able to handle c suite stakeholders and Board Directors.
Who you are
• Strong administrative experience with exposure to project coordination and stakeholder management.
• Outstanding organisational skills with ability to prioritise tasks effectively and manage competing demands.
• High integrity, tact, diplomacy, and a calm, professional approach when engaging with senior stakeholders.
• Demonstrates flexibility, initiative, and proactive problem-solving.
• Ability to create impactful presentations and communicate clearly across cultures.
• High proficiency in MS Office, particularly PowerPoint and Excel.
• Experience with purchasing systems, budget and expense management.
• Familiarity with basic reporting tools and ability to produce clear, concise updates.
• Project management skills (formal certification is a plus).
