Job Description

As a Facilities Management Systems Coordinator, you will work in a dynamic position where you build technical solutions on top of the standard software configuration based on the requirements that you get out of the conversation with not only the Facilities Management Team but also the wider business. The role of Systems Coordinator lies on the edge of both consultancy and software development.

Salary: Circa £50,000 depending on experience

Dynamic (hybrid) working: 2-3 days per week on-site due to workload classification

Security Clearance: British Citizen. Restrictions and/or limitations relating to nationality and/or rights to work may apply. As a minimum and after offer stage, all successful candidates will need to undergo HMG Basic Personnel Security Standard checks (BPSS), which are managed by the MBDA Personnel Security Team.

The opportunity:

Are you passionate about operational Facilities Management and digital innovation? Do you thrive on improving systems, shaping future technologies, and solving complex technical challenges? If so, were looking for a System Coordinator to join our FM Workplace Systems Team and play a key role in the development, improvement, and maintenance of our CAFM mobile solution and wider FM technologies across the UK Estate. This is an exciting opportunity for someone who combines technical expertise with a genuine passion for operational FM and continuous development.

As System Coordinator, you will lead and support the ongoing development of our CAFM platform (Planon), with a particular focus on mobile functionality and future digital solutions.

Your responsibilities will include:

  • Leading the improvement and maintenance of our CVAFM mobile solution, ensuring it meets evolving operational and user needs

  • Supporting the design, development, and implementation of future FM technologies and digital tools

  • Managing and optimising system configurations, integrations, and workflows within Planon and related platforms

  • Analysing, diagnosing, and resolving technical and functional issues to ensure system stability and performance

  • Translating operation and business requirements into technical specifications and system solutions

  • Working closely with FM operational teams, stakeholders, and suppliers to deliver practical, user-focused solutions

  • Driving continuous improvement through innovation, automation, and process optimisation

  • Supporting system upgrades, releases, testing, and documentation

  • Promoting best practice in data quality, governance, and system usage across the estate

  • Acting as subject matter expert for CAFM systems and mobile technologies within FM function

What we're looking for from you:

We are looking for someone who is not only technically capable but also enthusiastic about Facilities Management and digital transformation. You are proactive, analytical, and collaborative, with a strong ability to balance technical detail with operational reality. You are motivated by improving systems and empowering users through better technology.

  • Ideally 2 years experience translating business or client requirements into technical solutions

  • Experience working with CAFM systems (Planon desirable) or similar FM/asset Management platforms

  • Experience or interest in mobile solutions and digital tools within FM

  • Knowledge of data management, integration, and system configuration

  • Experience with JavaScript or similar technologies (highly desirable)

  • Background in Estates, Technical Services, or FM environments (desirable)

  • Excellent problem solving and communication skills

  • Ability to work independently while contributing effectively to a team
