Job Description
Hybrid 3 days a week together out of our London, One Braham office (flexible 2 days remote wherever).

For Artificial Intelligence, we must scale use cases rapidly, generate value at pace, and build the skills and capabilities to meet our Artificial Intelligence scaling ambition. As Personal Assistant to our new Managing Director of AI, you will be the organising force behind that mission—optimising the MD’s time, orchestrating information and stakeholder engagement, and creating the conditions for fast, high-quality decisions. You will provide Executive Assistant professional services at Managing Director level, owning the office administration, improving workflow and productivity, and aligning to priorities in a dynamic environment.
What you'll be doing
- Diary & time management: Own and strategically co-ordinate the MD’s diary—filtering, prioritising and resolving conflicts with minimal instruction. Integrate personal commitments, plan ahead and discharge actions through regular office meetings.
- Travel & logistics: Co-ordinate end-to-end travel and itineraries (including venues), anticipating needs and ensuring cost effectiveness and compliance.
- Meeting preparation: Partner with content owners to create briefings, papers and presentations; analyse simple data and prepare reports; prompt when sessions overrun. Expert use of Word and PowerPoint to produce clear agendas and decks.
- Email workflow: Design processes to simplify and track actions; respond and delegate independently, ensuring actionable emails are dealt with daily and open actions are closed.
- Stakeholder management: Build trusted relationships with the MD, leadership team and wider network; negotiate/persuade using insight; agree ways of working and service levels; share best practice across the PA community.
- Communications & engagement: Co-ordinate colleague calls, webcasts and events; support MD visibility—including virtual engagement—shaping agendas with content owners.
- Technology enablement: Be the advocate for digital tools; set up and manage Teams channels for meetings and collaboration; navigate internal systems (room bookings, catering, finance, travel) with confidence.
- Primary point of contact: Act as gatekeeper for the (virtual) office, screening calls and visitors, ensuring smooth, professional interactions.
- Compliance: Uphold BT policies across safety, security, ethics and compliance, with sound financial awareness for business requests.
- Projects & improvements: Deliver high-quality documents, prepare/analyse reports, solve simple IT issues, review office processes for efficiency, liaise across the leadership team, onboard new starters and capture actions to closure.
The experience you'll need
- Significant EA/PA experience supporting senior leaders (Managing Director level), with complex diary and travel management.
- Confidentiality & integrity: Diplomatic, discreet and trusted with sensitive strategic, commercial and people matters.
- Autonomy & pace: A self-starter who responds quickly, uses initiative and seeks guidance only when necessary.
- Relationship building: Professional presence and wide internal/external networks; able to influence outcomes through others.
- Communication: Expert written and verbal skills, making complex technical information easy to understand.
- Digital proficiency: Power user of Office 365 and collaboration apps; experienced in setting up/managing Microsoft Teams channels and OneNote; confident with internal systems and governance.
- Planning & organisation: Strong grasp of detail, deadlines and structured problem-solving; committed to continuous learning.
