3 days in the office, 2 days remote

Why this job matters?

This role is essential in supporting the operational effectiveness of Directors within our newly formed In House Creative Agency. As a Personal Assistant, you will provide high-quality administrative and coordination support, enabling the Directors to focus on strategic priorities. Working in a fast-paced and dynamic environment you will also play a key role in supporting team engagement, recognition, and communication activities across their respective areas.


Types of work that you may be doing

  • Administrative Support: Manage diaries, schedule meetings, coordinate travel, and process expenses for up to three Directors.
    Meeting Coordination: Organise internal and external meetings, prepare agendas, take minutes, and follow up on actions.
  • Team Engagement: Support Directors in planning and delivering team engagement activities, such as all-hands meetings, recognition events, and internal communications.
  • Recognition Management: Own and manage the “Just to Say” budget for the Directors’ areas, ensuring appropriate and timely allocation of recognition to team members.
  • Document Management: Assist in preparing presentations, reports, and briefing materials. Maintain accurate filing and documentation.
  • Communication: Act as a point of contact for internal and external stakeholders, ensuring timely and professional responses.
  • Collaboration: Work closely with the EA to ensure alignment and consistency in support across the unit. Also, work closely with the pan Consumer PA unit to ensure cover for Directors if their dedicated PA on annual leave, or out of the office.
  • Process Improvement: Identify and suggest improvements to administrative processes and team coordination.

  • Organisation: Strong time management and organisational skills with the ability to manage multiple priorities.
  • Communication: Clear and professional verbal and written communication skills.
  • Team Support: Experience supporting multiple stakeholders and coordinating team activities.
  • Recognition Coordination: Comfortable managing small budgets and ensuring meaningful recognition is delivered across teams.
  • Tech Savvy: Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, SharePoint).
  • Discretion: Maintains confidentiality and handles sensitive information with integrity.
  • Proactive: Takes initiative and anticipates needs, with a can-do attitude.
