Job Description

Location - London, Hyrbid working: 3 days in the office, 2 days working from home.

This is a pivotal role acting as the central point of coordination, providing comprehensive secretarial, administrative, and confidential support to a C-suite executive. You will work both independently and collaboratively, proactively anticipating needs and ensuring the smooth running of the office. The role involves managing diaries, travel, inboxes, and meeting governance, as well as preparing reports, presentations, and correspondence. You will plan ahead for key engagements, lead special projects, and support wider business initiatives, all while optimising workflows and aligning priorities with business outcomes.

Success in this role requires exceptional organisational skills, sound judgment, and the ability to navigate complex structures. You will be a trusted advisor and key contributor to the leadership team, bringing empathy, energy, and outstanding communication skills to a fast-paced and challenging environment.

What you’ll be doing

  • Diary & Meeting Management: Own and manage complex ExCo and Board schedules, resolve conflicts, plan ahead, and ensure seamless integration of personal and business commitments.
  • Travel & Admin Support: Coordinate cost-effective travel itineraries, venue bookings, and lead on finance and HR tasks (expenses, leave, procurement).
  • Meeting Preparation & Governance: Prepare agendas, content, and research for meetings; maintain governance processes, track actions, and manage document distribution.
  • Email Workflow: Streamline email processes, respond and delegate appropriately, and ensure timely completion of actions.
  • Events & Communications: Organise team events, off-sites, and internal communications; draft messages and manage communication plans for leadership.
  • Stakeholder Management: Build strong internal and external relationships, influence outcomes, and drive collaboration across teams.
  • Technology & Continuous Improvement: Champion digital tools, implement best practices, and optimise office processes for efficiency.
  • Project Delivery: Lead small projects, produce high-quality reports and presentations, and support onboarding of new team members.
