Role purpose:
The Project Coordinator role exists within Delivery function of Vodafone Business Technology Solutions (VBTS). Reporting to the Senior Portfolio Manager, the Project Co-Ordinator is responsible for the overall project schedule, to ensure successful tracking and reporting throughout the project lifecycle, from planning to successful handover into business-as-usual operations, with a focus on meeting project commitments on time as agreed with the customer, through strong teamwork and pragmatism.

Role Accountabilities:

- Day to Day responsibility is to support the Senior Portfolio Manager for the programme’s overall schedule;
- Works as part of a matrix-team of multi-talented people from across geographical locations, cultures and organisations, including Vodafone, its vendors and its customers;
- Analyse the project deliverables and manage cross-program dependencies to inform managers of schedule concerns, issues, and risks;
- Analyse supplier (internal and third party) schedules and work with them to achieve against the approved baseline schedule;
- Monitor governance standards across the portfolio, including tracking and updating project deliverables; Creation and maintenance of project/program trackers, tools and documentation;
- Assist with the preparation of consolidated material for project reports for regular review by key stakeholders;
- Attend inter-department and customer meetings to facilitate communication of schedule changes and their impacts to various operating groups;
- Oversee all communications within delivery compliance / deviation and managing the controls of schedule deviation (project change control);
- Assist with the compilation and distribution of monthly portfolio level reports;
- Use digital tools to enable decision making from Project/Program reports;
- Support Project/Program Managers in the planning process;
- Align schedule across workstreams for PM’s Low-Level Design and contractor resources, maintaining all inter-dependencies and resolving conflicts;
- Provide admin support across the portfolio, including documentation control, meeting scheduling, minute taking and database maintenance;
- Define and implement schedule change approval and tracking processes;
- Collaborate with peers working in other portfolios to ensure best practice and lessons learned are being shared;

Core competencies, knowledge and experience:

1. Previous Experience
a. A successful track record of supporting complex customer projects within a fast-paced ICT or Telecommunications industry.
b. Experience of working in a highly matrixed, agile organisation;
c. Previous Project Co-ordinator experience required who has experienced with the project management lifecycle.
d. Experience in Structured Cabling System delivery and Data Center fitout is preferred.


2. Tools
a. Strong digital skills across the whole O365 suite including PowerApps and PowerBI are desirable.
b. MS Excel & MS Project knowledge is mandatory;
c. Experience of using other project support tools; such as SharePoint & project management reporting tools (e.g. Planview/SAP).
d. Experience of using AutoCAD and similar design tool is preferred,


3. Communication
a. Excellent interpersonal, organisational, communication and presentation skills, especially when working with remote team members and stakeholders;
b. Established team player with the ability to build strong relationships with customers, vendors and internal stakeholders;
c. A self-starter with a determination to succeed, balanced with appropriate tact and diplomacy;
d. Ability to manage from a distance, resources who work for other organisations.

Technical / Professional Qualifications

- PRINCE2 Foundation/Practitioner desirable
- Other Project Management methodology certifications such as PMP, Agile, etc are desirable
- ITIL v3/4 desirable

Language and Contract Period

- Fluent English and German
- Mandarin preferable
