About this Role

We are seeking a facilities and workplace services professional to coordinate and manage the day-to-day delivery of soft facilities services across the VOIS building. The role focuses on ensuring high-quality service delivery through effective vendor management, customer-focused support, budget monitoring, event coordination, and workplace operations. The successful candidate will play a key role in creating a safe, efficient, and positive workplace experience while aligning facilities services with business needs and organisational objectives.

What you’ll do

Coordinate and oversee the delivery of soft facilities services across the VOIS building, ensuring a seamless workplace experience.
Manage and monitor third-party service providers, including:

Catering services
Housekeeping and cleaning services
Business support services


Ensure service quality standards are maintained and continuously improved.
Plan and coordinate workplace events, fairs, exhibitions, and hospitality requirements.
Support budgeting and planning activities related to facilities services and building operational expenses.
Monitor building-related consumption and expenditure to ensure alignment with approved budgets.
Coordinate internal logistics and operational requirements for in-house events and activities.
Manage customer service requests and support meeting room, hospitality, and workplace service requirements.
Oversee meeting room reservation management and ensure facilities are available and operational.
Report maintenance observations and facilities-related issues to the property management team.
Ensure business centres, office equipment, photocopying facilities, stationery, and consumables are available and functioning effectively.
Liaise with the IT department to report and resolve technical issues affecting workplace services.
Support additional facilities projects and workplace initiatives as assigned by Facilities Management.

Who you are

Experience in facilities management with 3–6 years of relevant professional experience.
Strong communication and stakeholder management skills.
Good command of written and spoken English.
Strong analytical capability with the ability to interpret data, numbers, and graphical reports.
Able to work effectively in a fast-paced environment and manage competing priorities.
Self-motivated with a proactive and solution-focused approach.
Strong planning, organisation, and forecasting abilities.
Good knowledge of Microsoft Word, Excel, and PowerPoint.
Understanding of Health & Safety rules and regulations.
Experience managing vendors and service delivery performance.
Customer-focused mindset with excellent service management capabilities.
