What you'll do

In this role, you will provide high-quality executive and administrative support to the General Manager, ensuring smooth day-to-day operations and effective coordination across teams. You will act as a trusted partner, enabling focus, structure, and follow-through across priorities, meetings, and communications. Following are the key tasks that this role will perform:

  • Manage the General Manager’s calendar, scheduling, daily priorities, and time management
  • Answer, screen, and direct phone calls, emails, and other communications
  • Prepare, format, and maintain documents, reports, presentations, and correspondence
  • Organize and maintain structured digital and physical filing systems
  • Prepare meeting materials, agendas, and supporting documentation
  • Take notes and minutes during meetings, summarize key actions, and track follow-ups
  • Communicate effectively with internal teams and external stakeholders on behalf of the General Manager
  • Support meetings with Sales teams by capturing key discussions and decisions
  • Coordinate business travel arrangements, including itineraries and supporting documents • Support expense processing, invoices, and administrative documentation
  • Coordinate with multiple departments to support General Manager –related activities and priorities
  • Provide administrative support for special projects and ad-hoc requests
  • Proactively anticipate needs and support the General Manager with a high level of ownership
  • Handle sensitive and confidential information with discretion, integrity, and professionalism

What you bring

  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar role supporting senior leadership
  • Excellent organizational and time-management skills, with the ability to manage multiple priorities and maintain structure in a fast-paced environment
  • Strong written and verbal communication skills, with confidence interacting across teams and with external stakeholders
  • High level of discretion, professionalism, and integrity when handling sensitive and confidential information
  • Proactive, solution-oriented mindset with the ability to anticipate needs, take ownership, and follow through
  • Strong interpersonal skills with a team-oriented approach, contributing to a positive, collaborative, and respectful working environment

You will work closely with the General Manager within a cross-functional leadership environment, supporting daily operations, strategic initiatives, and key stakeholder interactions. The role sits at the center of collaboration, enabling alignment, clarity, and execution across teams.

  • Act as a key interface between leadership, internal teams, and external partners
  • Support a fast-paced, collaborative environment with high standards of professionalism
  • Contribute to efficient decision-making through structure, preparation, and follow-through
