Key Responsibilities

2.1 Administration Management

  • Oversee all general office administration activities including office supplies, stationery, mailroom, travel arrangements, and hospitality.
  • Implement and enforce administrative policies, SOPs, and standards across departments.
  • Manage front office operations, reception, and employee helpdesk services.
  • Oversee event and meeting management including logistics, catering, and guest management.

2.2 Facilities Management

  • Manage day-to-day building operations, including maintenance, repairs, housekeeping, landscaping, pest control, and waste management.
  • Ensure facility readiness, uptime, and compliance with safety, health, and environmental regulations.
  • Plan and execute preventive and corrective maintenance schedules for HVAC, Electrical, AHU’s, FAPA, GSS, VESDA,WLD, ACS, CCTV, Rodent Control, UPS, Plumbing, and other systems.
  • Coordinate with landlords, property management teams, and external agencies for facility-related matters.
  • Oversee workspace planning, office moves, seating arrangements, and optimization of real estate space utilization.
  • Manage sustainability initiatives (energy efficiency, recycling, waste reduction, etc.).

2.3 Security and Safety Management

  • Develop, implement, and monitor security policies, procedures, and access control systems.
  • Manage on-site security personnel, CCTV systems, visitor management systems, and emergency response teams.
  • Conduct periodic safety audits, fire drills, and emergency preparedness training.
  • Ensure compliance with statutory safety norms, fire department regulations
  • Manage incident reporting, risk assessments, and corrective actions.


2.4 Technical Site Management

  • Oversee and maintain site-level technical infrastructure such as power backup systems, DG, UPS, networking rooms, and data cabling.
  • Monitor power consumption, energy efficiency, and uptime of critical systems.
  • Ensure AMC (Annual Maintenance Contract) and SLAs (Service Level Agreements) are adhered to for all technical and facility equipment.
  • Support minor civil, electrical, and mechanical projects as needed.

2.5 Vendor & Budget Management

  • Identify, evaluate, and manage external service providers (housekeeping, catering, transport, maintenance, etc.).
  • Monitor service quality, and ensure compliance with KPIs and SLAs.
  • Prepare and manage the annual administrative and facilities budget.
  • Track expenses, optimize costs, and ensure financial control through efficient resource utilization.

2.6 Compliance, Audit & Reporting

  • Maintain documentation related to statutory compliance (licenses, permits, safety certificates, etc.).
  • Support internal and external audits for administration, facilities, and EHS.
  • Prepare periodic reports and dashboards on facility performance, security incidents, maintenance status, and budget utilization.

2.7 People & Stakeholder Management

  • Lead a team of admin, facility, and security professionals; ensure training and skill development.
  • Collaborate closely with Ops/Engg. teams to support business continuity and employee experience.
  • Act as the primary point of contact for all site-level escalations.
