About Us

Since 2016, Patchwork Health has been on a mission to make truly flexible and sustainable working a reality for all healthcare staff. Patchwork offers a range of different solutions, including temporary staff banks, which enable organisations to source temporary staff from their own pool of approved workers; ‘collaborative staff banks’, which help healthcare organisations team up with others in the same region to widen and share their temporary staffing pools; an innovative new rostering solution which enables more flexible, sustainable staffing for permanent healthcare staff; and an Agency Manager which makes it easier for managers to select appropriate temporary staff from external agencies when necessary. Patchwork Insights also provides managers with comprehensive data oversight, to monitor staffing trends, shift fill rates and pay rate escalations, and reliably plan ahead to prevent staffing gaps.

The Role

Patchwork’s Implementation Consultants support Implementation Managers in delivering successful project outcomes by assisting with project planning, documentation, stakeholder coordination, administrative tasks and technical configuration.

This role requires great organisational skills, attention to detail, and a desire to develop project management expertise. Everyone in Implementation is capable of assisting on projects across all products, but you will primarily be focused on our Rota implementations.

Key Responsibilities

Project Coordination & Support

  • Assisting Implementation Managers in coordinating multiple implementation projects, ensuring adherence to timelines, scope, and budget.

  • Maintaining project trackers, schedules, and risk logs, proactively flagging potential issues.

  • Supporting in the preparation of project plans, reports, and status updates.

  • Supporting Implementation Managers to ensure all project documentation is up to date and aligned with internal governance frameworks.

  • Leading a range of minor implementation activities across all Patchwork products and services (post user training), including:
    • Consultancy support at the beginning of projects.
    • Delivering a broad scope of project management activities.
    • Organising project “kick off” meetings and preparing meeting content.
    • Supporting clients with data migration and gathering quality assurance of data.
    • Conducting user training and contributing to the authoring of user training across Patchwork’s products.

Stakeholder Engagement

  • Serving as a point of contact for internal teams and external clients, responding to queries and escalating issues when necessary.

  • Arranging and facilitating meetings, workshops, and training sessions for clients and internal teams.

  • Assisting in capturing and following up on action items, ensuring clear communication between all stakeholders.

  • Supporting in gathering and consolidating client feedback during implementations.

  • Supporting worker engagement activities.

Product & System Support

  • Developing a good understanding of all of Patchwork’s products and services to support internal teams and external clients and their users.

  • Learning to configure and deploy patchwork products and services, and where required providing additional support in triaging and resolving issues.

  • Assisting in creating training materials and user guides for clients.

  • Working with Implementation Managers to track and analyse and report on workforce data and key project metrics.

Research and Process Improvement

  • Staying updated on industry trends, best practices, and workforce management solutions.

  • Identifying areas for process improvement within the Implementation Team and raise these with your line leader or the Director of Implementation.

  • Supporting the development of processes, tools, and best practices.

  • Contributing to internal knowledge-sharing by documenting learnings and project insights and working cross-functionally within the wider Client Operations Team and beyond.

Requirements

Essential

  • Experience in project coordination, administrative project support, or client and delivery operations in a SaaS, healthcare, or tech-related environment (ideally B2B2C within SaaS).

  • Basic understanding of project management methodologies (e.g. Agile, PRINCE2, PMI).

  • Strong organisational skills, with an ability to manage multiple tasks and deadlines.

  • Familiarity with project management governance and processes.

  • Ability to track and document project progress effectively.

  • Excellent communication skills, both written and verbal.

  • Good proficiency in general business technologies - Microsoft Office, Google Suite, and project management tools (e.g., Monday.com, Asana, Jira).

  • Tech savvy and adaptable to new technologies and systems.

  • Prideful attention to detail.

  • Eagerness to work in a team and be a self-starter.

  • A proactive mindset with a problem-solving attitude.

  • Ability to work effectively in a fast-paced, dynamic team environment.

Nice to Have

  • Project management qualifications (i.e., Agile, PRINCE2, PMI).

  • Experience working with healthcare workforce solutions, particularly e-rostering.

  • Exposure to client-facing or stakeholder management roles.

  • Familiarity with data analysis and reporting tools.

  • Experience or knowledge of the NHS, healthcare, or healthtech industry.

  • Experience in a tech start-up/scale-up.
