Job Description
PMO Co-ordinator
- Be the engine behind confident decision‑making – keep governance on track so change teams can deliver at pace, with clarity and control.
- Shape quality and assurance – help teams align to the Change Framework and embed proportionate controls that protect outcomes.
- Make an impact across a busy portfolio – work with a wide range of stakeholders, bringing structure, insight and momentum to delivery.
About the role
This is a key co‑ordination role at the heart of change delivery. As a PMO Co‑ordinator, you’ll support effective, proportionate governance across a portfolio or delivery team – making sure the right information reaches the right people at the right time. Your work will help stakeholders stay informed, risks stay visible, and decisions stay well‑grounded, enabling successful delivery and stronger outcomes for colleagues and customers.
In this role, you’ll bring order, visibility and assurance to a fast‑moving delivery environment. You’ll work closely with project and programme teams to ensure governance is well planned, controls are in place, and reporting is accurate, timely and meaningful.
Key responsibilities include:
- Owning the governance rhythm – maintaining and managing the governance schedule, ensuring stakeholders are engaged, communications are clear, and activity is aligned to delivery plans.
- Embedding delivery controls – establishing, monitoring and supporting processes and controls in line with the Change Framework, providing first‑line assurance that standards are being met.
- Tracking assurance actions – supporting and monitoring the implementation of assurance recommendations, helping teams strengthen consistency, quality and compliance.
- Managing budgets and forecasts – developing, maintaining and reporting on budgets, including resource allocation and forecasting, flagging issues early and escalating where needed.
- Keeping delivery intelligence live – reviewing, recording and maintaining key project controls, including plans, risks, issues, dependencies and constraints, highlighting emerging concerns and supporting solution‑finding to minimise impact.
- Producing impactful reporting – collating and submitting accurate, timely delivery information for stakeholders, committees and regular reporting cycles to support informed decision‑making.
- Supporting priority initiatives – delivering short‑term and one‑off activities as agreed with your people manager, to the standards and outcomes required.
About you
You’re organised, proactive and comfortable working across multiple priorities. You enjoy building structure, improving ways of working, and helping teams deliver with confidence. You’re also someone who can work collaboratively while applying a constructive eye for detail and quality.
To join the team, you’ll bring:
- Demonstrable experience in a Programme, Portfolio or Change Management Office environment.
- A solid understanding of project delivery methodologies and confidence using (or quickly learning) project planning tools.
- Strong co‑ordination and organisation skills, with the ability to plan and manage multiple activities at once.
- Excellent attention to detail and a commitment to producing accurate, reliable information.
- Strong MS Office capability (for example, Excel, PowerPoint, Word), with the ability to present information clearly and professionally.
You’ll also be recognised for strengths such as:
- Business focus – understanding what “good” looks like in delivery, sharing knowledge, and helping teams apply standards proportionately.
- Delivering results – bringing ideas, improving quality, and helping others achieve stronger outcomes.
- Executing successfully – showing initiative, embracing change, and supporting continuous improvement.
- Customer focus – building trusted relationships through clear communication and consistent follow‑through.
- Personal effectiveness – taking ownership of your development, balancing priorities, and staying calm under pressure.
Desirable qualifications (or equivalent experience):
- Management of Portfolios (MoP) Foundation
- P3O Foundation (Portfolio, Programme and Project Offices)
- APM Project Fundamentals Qualification (PFQ)
