What you'll bring to the team
The Executive Assistant (EA) provides high-level administrative and operational support to senior leaders within the North America Hub. This role is critical to ensuring smooth day-to-day operations, effective executive support, and a consistent employee experience across onboarding, engagement, and Hub coordination. The EA acts as a trusted partner to leaders, enabling them to focus on strategic and people-focused priorities by managing logistics, communications, and cross-functional coordination.
Key Responsibilities
Executive & Leadership Support
- Provide proactive administrative support to senior leaders, including calendar management, meeting coordination, travel arrangements, and expense processing.
- Prepare agendas, meeting materials, presentations, and follow-up actions; track deliverables and deadlines.
- Act as a central point of contact for executive communications, prioritizing requests and ensuring timely responses.
- Support confidential matters with discretion and professionalism.
Onboarding & Pre-Onboarding Coordination
- Coordinate day-one readiness for new hires, including induction planning and new hire communications.
- Partner with IT, Facilities, and business teams to ensure equipment ordering, system access, and workspace setup are completed on time.
- Manage workspace planning and approvals, including desk assignments and office logistics.
- Support day-one orientation activities, tours, introductions, and work authorization coordination as needed.
Hub Operations & Coordination
- Support the operational rhythm of the North America Hub by coordinating meetings, communications, and shared resources.
- Assist with tracking key Hub initiatives, timelines, and action items to ensure follow-through.
- Maintain organized records, documents, and trackers related to Hub activities and leadership priorities.
- Serve as a liaison between executives, Hub teams, and cross-functional partners.
Culture, Wellbeing & Engagement Support
- Support culture and engagement initiatives, including team events, recognition activities, and wellbeing efforts.
- Assist with planning and logistics for team meetings, town halls, and Hub-wide events.
- Help ensure a consistent and welcoming employee experience across the Hub.
Qualifications & Experience
Qualifications
- 3–5+ years of experience supporting senior leaders in an Executive Assistant or similar role.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- High level of professionalism, discretion, and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office and collaboration tools; comfort working across systems and platforms.
- Ability to work independently, anticipate needs, and operate effectively in a fast-paced, evolving environment.
