Corporate Receptionist – Global Headquarters (McLean, VA)
Role: Monday-Friday
Hours: 7am- 4pm
Mars is seeking a highly organized and professional Corporate Receptionist to join our team at the Global Headquarters in McLean, VA. As the first point of contact for associates, clients, and visitors, you will play a critical role in creating a welcoming and professional environment. This position requires strong communication skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced setting. The receptionist is the first point of contact for all Associates, clients and visitors, and offers professional and friendly assistance. This role requires exceptional organizational skills, the ability to manage competing priorities, and a proactive approach to problem-solving. The ideal candidate will be comfortable navigating a dynamic environment, coordinating across departments, and always maintaining a high level of professionalism and discretion.
What will be your key responsibilities?
- Welcome and assist visitors, ensuring a positive first impression and directing them to the appropriate contact or department.
- Answer and route incoming calls promptly and professionally.
- Manage meeting room bookings, visitor logs, and appointment scheduling.
- Handle incoming and outgoing mail and email correspondence efficiently.
- Maintain a clean, organized, and professional reception area.
- Provide administrative support, including data entry, filing, and document preparation.
- Oversee office store and catering supplies, coordinate restocking with vendors.
- Ensure compliance with security protocols, including visitor sign-in procedures.
- Schedule appointments for the Infrastructure Team and executives as needed.
- Support engagement events in collaboration with Executive Administration and Communications teams.
- Perform other duties as assigned to support office operations.

- 3–5 years in a receptionist or administrative role, preferably in a corporate environment.
- Excellent verbal and written communication skills with a professional demeanor.
- Strong organizational and multitasking abilities to manage competing priorities.
- Proven customer service skills to deliver a positive experience for visitors and callers.
- Proficiency in Microsoft Office Suite and scheduling tools.
- Ability to adapt quickly while maintaining professionalism and discretion.
- Strong time management skills and attention to detail.
- Professional appearance and presentation, as this role represents the company’s image.
