
Administrative Assistant
Job Description
Part of the administrative support team at Maersk Line, Limited, the Administrative Assistant assists leaders within our Operations team in Norfolk, VA. By providing day-to-day administrative and coordination support, this role is responsible for organizing schedules, supporting team activities, and assisting with documentation and communication, enabling leaders to stay focused on key business priorities.
Key Responsibilities:
Event Coordination
Coordinate team meetings, workshops, offsites, and internal initiatives from planning through execution.
Support visitor requests in accordance with established security procedures.
Prepare meeting agendas, briefing materials, and presentations for internal and external stakeholders.
Operational and Administrative Support
Order and maintain supplies for operations colleagues.
Maintain documents, trackers, and reporting tools with high accuracy
Maintain and manage systems such as SharePoint, Team sites, and organizational documentation.
Handle ingoing and outgoing mail to the vessels.
Provide administrative support for vessel reflags and ongoing vessel projects, as needed.
Coordinate with other administrative team members to provide cross-functional and backup support which includes but is not limited to vendor management, office coordination, facility support, etc.
Support ad-hoc projects and special initiatives
Ensure compliance with established corporate standards.
Supporting commitment to safety and other selected company standards and certifications.
Performing other position-related duties as specified by management.
Position Specifications:
Education and Experience
High School diploma and a minimum of three years administrative assistant experience required.
Technical Skills and Competencies Required
Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
Proficiency in Microsoft Office tools, particularly Outlook, Excel, PowerPoint, Word, SharePoint, and Teams.
Excellent communication and interpersonal skills.
Ability to work independently while collaborating effectively across teams.
Comfortable adapting to changing priorities and shifting demands.
Proactive, solution-oriented, and highly dependable.
Flexible in providing office support across the organization to meet business needs.
