About the role


• Specific business area: Execution of administrative and organisational activities, including the preparation and maintenance of technical drawings, records, supplier information, and operational data to support the safe, compliant, and cost-effective operation of technical infrastructure.
• Impact of the role: The Technical Administrator plays a key role in ensuring the safe, efficient, and compliant operation of BT's technical infrastructure by maintaining accurate documentation and operational records, coordinating administrative, financial, and procurement processes, managing supplier performance, and supporting infrastructure planning and change activities. The role contributes directly to service quality, business continuity, budget control, and operational efficiency.
• How the role supports organisational priorities: This role supports organisational priorities by maintaining accurate infrastructure and financial records, enabling effective supplier management, supporting energy efficiency and sustainability initiatives, coordinating infrastructure changes, and ensuring the safe, compliant, and cost-effective delivery of infrastructure services that support customers and business operations.

What you will be doing (Role Accountabilities)


• You will act as the first point of contact for customer, supplier, and stakeholder enquiries, ensuring requests, incidents, issues, and actions are tracked through to resolution.
• You will maintain accurate technical drawings, floor space records, site documentation, infrastructure data, and operational records within company systems and databases.
• You will manage and update contract, asset, cost, budget, and site information to support effective operational, commercial, and financial control.
• You will support the planning, allocation, modification, relocation, and decommissioning of technical space and infrastructure, ensuring records and documentation remain accurate.
• You will coordinate planned works, infrastructure projects, site changes, and decommissioning activities, ensuring approvals, documentation, and stakeholder communications are completed.
• You will administer site access permissions for customers, suppliers, and authorised personnel in accordance with security, compliance, and operational requirements
• You will support procurement and financial processes, including supplier onboarding, tender activities, contract administration, purchase orders, goods receipts, invoice approvals, budget tracking, and cost reporting
• You will monitor supplier performance, service delivery, and contract compliance, prepare reports and supporting service reviews, supplier governance meetings, and contract renewal activities.
• You will monitor and coordinate infrastructure support services, including security, cleaning, fire protection, and other facilities services, ensuring agreed service levels and standards are maintained.
• You will collect, maintain, and analyse operational, financial, and energy consumption data, identifying opportunities to improve efficiency, reduce costs, and support sustainability objectives.
• You will maintain accurate records, reports, and documentation to support audits, regulatory compliance, business reporting, and operational governance requirements.
• You will collaborate with operational, procurement, finance, HR, property, customer, and supplier teams to ensure the safe, compliant, and reliable delivery of technical infrastructure services.


What you’ll need to succeed (Skills & Experience)


• Experience maintaining accurate technical drawings, records, documentation, and business data.
• Strong organisational, planning, and time-management skills, with the ability to manage multiple priorities and meet deadlines.
• Strong attention to detail and a structured, methodical approach to work.
• Good communication and stakeholder management skills, with the ability to work effectively with customers, suppliers, and cross-functional teams.
• Proficiency in Microsoft Office applications, particularly Excel, and the ability to work with business systems and databases.
• Experience supporting financial administration, including budgets, costs, purchase orders, invoices, and reporting.
• Understanding of supplier management, service performance monitoring, and contract compliance.
• Ability to analyse data, prepare reports, identify issues, and support effective decision-making.
• Understanding of security, compliance, audit, and safe working practices.
• Strong problem-solving skills and the ability to follow actions through to completion.
• Ability to work independently while collaborating effectively within a wider team environment.
Desirable Skills & Experience
• Experience creating or updating technical drawings using AutoCAD or similar CAD software.
• Experience working within telecommunications, technical infrastructure, facilities management, property management, or data centre environments.
• Knowledge of technical space planning, facilities management, and infrastructure lifecycle management.
• Experience supporting supplier reviews, procurement activities, tender processes, contract renewals, or supplier governance.
• Experience with access management, physical security processes, and compliance controls.
• Experience supporting infrastructure projects, site closures, relocations, or decommissioning programmes.
• Knowledge of change management and planned works coordination processes.
• Understanding of energy management, energy consumption reporting, and sustainability initiatives.
• Familiarity with property, facilities, asset management, space management, or documentation systems.• Basic understanding of electrical power systems, HVAC, cooling, ventilation, fire protection, and building infrastructure services.• German language skills, as much of the documentation and operational information is maintained in German.
