Location: Scotstoun/Govan. Onsite

Salary: Up to £38,000 (DOE)

Job Description:

This role is critical to the effective functioning of the Naval Ships Senior Leadership Team, acting as a trusted extension of the executive and enabling them to focus on strategic priorities. By providing confidential, accurate and timely support, the role safeguards decision-making quality, information flow and operational continuity. Proactive anticipation of issues and needs helps prevent delays, reduces risk, and ensures smooth day‑to‑day delivery in a fast‑paced and complex environment.

Core duties:

  • Provide efficient, effective, proactive and confidential support to a Senior Leadership Team member(s) ensuring that their priorities are actioned and achieved
  • Manage all incoming communications and ensure efficient/optimised use of time via diary management
  • Book complex travel and process expenses ensuring due diligence and process adherence
  • Act as delegate across multiple business systems to enable on time processing of information and proactive action management on behalf of the SLT member(s)
  • Support Naval Ships events, VIP visits and co-ordinate/plan local SLT member(s) visits ensuring high attention to detail

Essential Skills:

  • Previous experience as a Personal Assistant providing high-level support to directors or senior leadership
  • Ability to manage workload efficiently within a fast-paced environment
  • Excellent organisational skills with the ability to effectively manage time and prioritise workload
  • Strong written and verbal communication skills, with a proactive approach to engaging with stakeholders. Demonstrates tact, diplomacy, and discretion when communicating with a range of audiences
  • Highly developed administrative skills, with proven experience in organising meetings, preparing agendas and supporting materials, and recording actions and minutes where required
