You’ll provide high‑quality, consistent administrative and organisational support across the Quality Environment & Assurance Directorate, with a particular focus on senior leader support, stakeholder coordination, and day‑to‑day operational smoothness. The role covers proactive diary and inbox management, forward planning, meeting logistics, action tracking, and support for directorate‑wide events.

A key part of the remit is information and correspondence management, including shared mailbox triage for regulatory and stakeholder communications, plus structured minute‑taking and action logging for technical and regulatory forums. You’ll also lead on purchasing and cost‑control admin, and own the Directorate’s Lighthouse site and document governance, ensuring content is accurate, controlled and compliant (including H&S and GDPR).

Key responsibilities

  • Provide proactive diary, inbox and administrative support to SLT members; plan and coordinate PDRs, 1:1s, team meetings and associated actions.
  • Arrange meeting logistics (rooms/tech/refreshments/guests), prepare agendas, capture minutes and maintain action logs.
  • Triage and track incoming regulatory/stakeholder correspondence in shared mailboxes, coordinating responses and deadlines.
  • Oversee purchasing processes (raising orders, Barclaycard payments, GRNs, vendor set‑up) and administer CATs timesheets.
  • Own and maintain the QE&A Lighthouse site, document libraries and templates; ensure version control, naming, and GDPR‑compliant storage.
  • Champion the “Safer Every Day” agenda: complete H&S inductions/audits, monitor Working Time compliance, and report near misses.

As a valued employee you’ll be entitled to:

  • A competitive pension scheme where we double-match your contributions up to 6%
  • Private healthcare for your peace of mind
  • An annual bonus scheme
  • The opportunity to volunteer in your local community
  • 25 days holiday (plus Bank Holidays), increasing with service, with the option to swap Christmas and Easter for religious holidays
  • Life cover (8x your salary) and personal accident cover (up to 5x your salary)
  • Flexible benefits to support your well-being and lifestyle
  • Paid time off for illness, both physical and mental
  • Free parking at all office locations, sites, and leisure parks
  • Excellent family-friendly policies, including 26 weeks of full pay for maternity/adoption leave and 4 weeks of paternity/partner pay, with the opportunity for shared parental leave

What does it take to be successful?

  • Organisation & time management across complex diaries, inboxes and logistics.
  • Clear written & verbal communication (incl. minute‑taking, reports, stakeholder correspondence).
  • Confidentiality & discretion handling sensitive information professionally.
  • IT proficiency (Microsoft 365, SAP, shared systems and records).
  • Procurement & finance admin (ordering, payments, financial record‑keeping).
  • Behaviours that promote H&S, pride in work, clear information delivery, relationship‑building, curiosity and continuous learning.
  • Proven diary management experience.
  • GCSE Maths & English (or equivalent).
  • Relevant technical knowledge to support the directorate’s work.
  • Organisation & time management, communication, confidentiality & discretion, IT proficiency, H&S awareness, procurement & finance admin, and document/data management (as marked essential).
