Job Description
As Travel Co-ordinator, this person will be responsible for ensuring all travel bookings.
They will be responsible for the booking and issuing of all work-related travel for 500+ employees and as such must feel comfortable with multitasking, challenging travel requests and presenting alternative options to travellers where there is a more cost-effective solution than that brief.
Multi-tasking and time responsiveness are essential for this role. The successful candidate must be able to adapt and juggle multiple tasks and personalities on a daily basis and importantly, do it well and at speed. They must be able to manage their own workload and prioritise tasks. This role is suitable for someone who keeps calm in busy travel periods, has a can-do attitude and is a fast and efficient worker. The successful candidate will be bright, personable and on the ball. They are tasked with a very important role and are in charge of a lot of money. As such, this person must also possess excellent numeracy skills.
This person will also be responsible for cross-checking and managing all invoicing and data entry related to travel, so it is essential that the successful candidate is organised when it comes to finances and trackers.
The workload varies daily. Some days are hectic, and some can be quieter. During quieter periods, proactivity is expected in this role, whether checking that all shared documents are up to date or keeping hotel registers up to date.
The role may involve working AM/PM shifts to provide travel support coverage between 7:00am and 10:00pm. The team will coordinate shift patterns, with a crossover period for handover and team updates.
Key responsibilities and accountabilities
- Book and issue travel bookings on behalf of passengers.
- Provide booking confirmations to the passenger and ensure everything is in place for the traveller.
- Tracks travel spending
- Excellent computer literacy (Gsuite)
- Excellent typing and concise communication skills. Telephone and email manners of the highest calibre.
- Easy communication with EAs
- Perform other duties as assigned by the Travel Team Lead
Qualifications
Essential
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Proficiency in Gsuite or other productivity software.
- Willingness to learn and adapt to new technology and processes.
- Ability to maintain confidentiality and handle sensitive information.
- Ability to work in a fast-paced environment and meet deadlines.
- Prepared to work outside of standard working hours when projects and events demand it
- Willingness to travel domestically or internationally for business purposes.
- Comfortable working AM/PM shifts to support coverage between 7:00am and 10:00pm when required.
Desirable
- GDS trained
- Strong analytical and problem-solving skills.
