What you'll do 🏡💻

The HR Coordinator role is responsible for ensuring high-quality, efficient, and modern HR operations across the Nordics (Sweden, Norway, Denmark).

The role combines operational excellence in HR administration with a strong focus on data accuracy, employee experience, and continuous improvement. A key objective is to enable a scalable and self-service-oriented HR function through digital solutions and improved ways of working.

Core responsibilities:

  • Own and maintain 100% accurate and up‑to‑date HR master data in HiBob, covering all aspects of the employee lifecycle (onboarding, offboarding, contracts, compensation changes, documentation).

  • Act as the first point of contact for employees and managers, providing clear, timely guidance on policies, contracts, benefits, leave, and HR processes.

  • Drive the development of a modern HR self‑service experience, including AI‑supported knowledge tools, improved FAQs, and intuitive content structures.

  • Coordinate local employee experience and engagement initiatives across the Nordics, collaborating with HRBPs, the HR Manager, and local “mood managers.”

  • Support continuous improvement efforts by challenging inefficient processes and helping implement better systems, tools, and ways of working.

  • Collaborate across Sweden, Norway, Denmark, and global HR teams to align practices and support regional initiatives.

The must haves 💪

  • 2–4 years of experience in HR administration, HR operations, or similar roles.

  • Strong attention to detail, especially in handling HR master data and documentation.

  • Structured, organized, and able to manage multiple tasks with accuracy and reliability.

  • Excellent communication skills and a service‑oriented, supportive approach.

  • Experience working with HRIS systems (ideally HiBob or similar).

  • Experience supporting multiple countries or working in a Nordic/regional setup.

  • Analytical mindset with interest in improving systems, processes, and digital HR tools.

  • Confidence in challenging the status quo and proposing new, scalable solutions.

The location

This role will be located in Stockholm, with expectation of 2-3 days/week in the office.

  • We increased our % of female hires from 23.6% in 2021 to 38.5% in 2023 and 41% in 2024! 2025 dipped back to 34% - but this has never been a tick box exercise, so we just want to make sure the trend remains positive.

  • We are partnering with the likes of Flexa, who have significantly higher-than-average talent pools of candidates from diverse backgrounds.

  • We are working with State Employment initiatives in Norway and Sweden to bring candidates through internship/apprenticeship routes and are investigating similar initiatives in the UK and Bulgaria.

  • By raising awareness and transparency, we are hoping to further attract a diverse workforce.
