We are seeking a professional and service‑driven Front Office Receptionist to be the welcoming face of our Riyadh office. This role is critical in creating a positive first impression for visitors, clients and colleagues, while ensuring the smooth, secure and efficient operation of all reception and front‑of‑house services.

As the first point of contact for the business, you will represent Mott MacDonald’s values, professionalism and commitment to excellence. You will take ownership of reception services in Riyadh, working closely with the KSA Administration and WIN teams, and forming part of the MME Central Services Administration Team, reporting to the Office Facilities Manager – KSA.

Key responsibilities but not limited to:

You will be responsible for delivering a comprehensive front‑of‑house and administrative service, including but not limited to:

Reception and visitor experience

  • Managing the front reception desk and providing a professional, welcoming and efficient service to all visitors and callers
  • Greeting, welcoming and announcing visitors, ensuring a consistently positive and professional first impression
  • Acting as the first point of contact for incoming calls, screening and directing calls appropriately and providing basic information where required
  • Ensuring all visitors receive a verbal safety briefing covering office safety and emergency procedures
  • Maintaining office security by following company procedures, managing visitor logs and issuing visitor access badges

Facilities and office environment

  • Ensuring the reception area, lobby and meeting/conference rooms are clean, safe and presentable at all times
  • Proactively identifying and addressing any issues that may affect safety, comfort or presentation, coordinating with the Office Assistant or escalating to the Assistant Office Services Manager as appropriate
  • Booking meeting and conference rooms and arranging catering and refreshments as required

Administrative and operational support

  • Managing incoming and outgoing mail, courier services and deliveries
  • Coordinating hotel bookings in Riyadh for visiting staff and managers, including liaising with hotel representatives and conducting hotel inspections
  • Managing the driver schedule, allocating journeys and maintaining accurate daily journey logs
  • Preparing Local Purchase Orders (LPOs) for office goods and services, including stationery, cleaning and pantry supplies, in line with preferred suppliers

Business support and coordination

  • Providing administrative support to the Riyadh administration team, including CV formatting and timesheet‑related tasks
  • Managing and updating office Compass pages
  • Monitoring the KSA administration email inbox and distributing correspondence to relevant stakeholders
  • Downloading Requests for Proposals (RFPs) and related documentation from client portals
  • Uploading Mott MacDonald technical and financial proposals to client portals
  • Drafting professional correspondence and letters
  • Formatting Word documents and PowerPoint presentations in line with Mott MacDonald brand and quality standards

General

  • Supporting ad‑hoc tasks, initiatives and projects as required to support the wider business

Candidate specification

We are looking for someone who brings professionalism, attention to detail and a strong service mindset. The ideal candidate will demonstrate:

  • Diploma level education or equivalent
  • Proven experience in a similar front‑office, reception or administrative role within a professional environment
  • Excellent written and spoken English communication skills
  • Strong interpersonal skills with the ability to build effective working relationships at all levels
  • High levels of organisation, forward planning and time management, with the ability to prioritise a varied workload
  • Excellent attention to detail and accuracy
  • Ability to multitask and work calmly under pressure
  • Proactive, resourceful and able to resolve issues independently
  • Confidence to work on own initiative with minimal supervision
  • Strong customer focus and commitment to service excellence
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook
  • Experience using InDesign is highly desirable
  • Professional appearance and conduct
  • Enthusiastic, conscientious and reliable with a strong work ethic
  • Positive, flexible and collaborative approach with a “can‑do” attitude
  • Verbal ability in Arabic or additional languages is an advantage
