Job Description:
Joining the Communications & Marketing team, you will support end to end creation of events from inception to onsite management which may involve travel, including outside of the UK. This will include a variety of events from internal strategic events, third party exhibitions & conferences, live customer events and our participation at Flagship BAE Systems Plc events.
Through delivering events, you will help to drive awareness and business growth, and gain exposure to a wide range of stakeholders, such as the wider Communications & Marketing team, regional teams & Third-Party Vendors, to ensure events meet campaign objectives. This will ultimately help to support both business pipeline development and business winning opportunities.
Core duties:
- You will forecast, plan and deliver a high volume of complex exhibitions, conferences, and BAE Systems–owned events worldwide
- You will be a Business Area Protocol Coordinator for BAE Systems corporate events
- You will own and manage the budgets and resources for each event, ensuring all events are delivered to agreed timescales, scope and ambition, this includes updating budget reports monthly
- You will manage the procurement process around each event including the setting up of suppliers, raising of purchase orders, process around purchasing cards, one time vendor payments
- You will work with existing approved suppliers for venue searching, exhibition stand build companies, production company, third party event organisers which vary from event to event and any other supplier as required
- You will, provide briefs and scope of project requirements and managing the project with the suppliers right through to post event reports
Essential Skills:
- You will have a background within Events Project Management, this will be showcased in your ability to build effective working relationships and engage with a broad range of stakeholders
- You will show your proven ability using CRM and events management systems experience
- You will bring experience working with third party suppliers, to the role
- You will have excellent IT skills including Excel, Word and PowerPoint
- You will be able to identify risks and propose solutions to help drive continuous improvement and improve efficiency
The Communications and Marketing Team:
You will play a key role in a fast-paced environment, with exposure to a range of events and capabilities where the wider group environment keeps things fresh & the business continues to gain more exposure, through joining team of experts that are a close-knit team.
Through partnering with business colleagues, you will face a broad range of stakeholders, gaining exposure to events, from group level, down to smaller ‘live events’ that you will solely manage and internal events too.
