About the OPPORTUNITY
We have an exciting opportunity to join us as a Business Support Coordinator to work within our Maritime Sustainment area for a fixed term of 12 months. Reporting to the Head of Engineering, the Business Support Coordinator serves as a strategic partner and is responsible for providing high level, efficient and professional administrative support to the business to ensure the smooth functioning of organisational operations. The purpose of this position is to lead and manage complex administrative functions, participate in business initiatives as required, and maintain effective communication with internal and external stakeholders.
We embrace flexible work arrangements at BAE Systems Australia, such as working a 9-day fortnight. This role will be based out of our Osborne Shipyard office in South Australia.
Key responsibilities will include:
- Provide high level confidential administrative support to Head of Engineering.
- Assist in forward planning to provide relevant preparation materials/ pre-brief for meetings
- Schedule and co-ordinate both internal and external meetings and conferences including minute taking, managing actions, logistics of meeting rooms, presentations, site access and catering as required
- Filing, preparation, collation and distribution of documents/correspondence
- Provide administrative support to senior leadership team
- Develop required reports in consultation with senior leadership and/or teams to consistently meet business requirements and deadlines
- Support senior leaders with critical governance systems, registers, processes and data records
- Escort and supervise within secured areas and facilitate VIP visits whilst providing professional customer service for senior leadership visitors
- Arrange travel, inclusive of flights, accommodation, transport and visit requirements in line with company policy limited to senior leadership and contingent workers within Combat Systems
- Raise purchase orders, process invoices and reconcile credit cards in line with company policy
- Assist with on-boarding activities new staff members
- Provide ad hoc business support as required
- Ensure on site stationery and consumable levels are maintained
About YOU
You’ll have:
- Excellent communication skills required, both written and verbal
- A lean in approach and be team orientated with
- Excellent time management skills and be a motivated self-starter with
- High attention to detail
- Organisational and problem-solving skills
- An ability to work and liaise effectively with internal and external stakeholders at all levels
- A flexible and can do attitude
- Computer literacy with advanced knowledge of MS Suite along with SharePoint & Oracle (desirable)
- Previous experience in a similar role
- Eligibility to obtain and maintain Australian Government Security Clearance
