Role Description:

We have an exciting 12-month fixed term opportunity for a Business and Training Support Officer to work with our Training Lead in the Advanced Manufacturing space. You will provide administrative support to the Advanced Manufacturing business to ensure efficient daily operations are maintained. The Business and Training Support Officer will facilitate communication and collaboration between various departments and stakeholders and assists with the planning and development of training including setting up and assisting with the management of training schedules, other training administration, and running monthly reports.

Core Duties:

  • Coordinate meetings, inclusive of meeting logistics, catering, minute taking, recording actions and maintaining meeting agendas
  • Arrange domestic and international travel, including flights, accommodation, visit requirements and transport as required
  • Organise and support business events, provide customer service, escort and supervise visitors within secured areas
  • Raise purchase orders, process payment of invoices and reconcile credit card expenses in line with company policy
  • Maintain office supplies, consumables and stationery as required
  • Collate data and contribute to the development of reports, manuals, presentations and correspondence as required
  • Prepare correspondence on behalf of manager and/ or team leads
  • Maintain document control/ storage and team site/s
  • Contribute to appropriate systems, procedures and controls to enhance the efficiency of processes and presentation of content
  • Provide cover for periods of leave for other administrative team members within the organisation as required
  • Maintaining training records and databases (MQIS) including setting up of courses, engagements, and attendances
  • Assisting with the on-boarding and induction of new staff members to Advanced Manufacturing
  • Assisting with training enquiries and support needs along with booking internal and external courses as required
  • Coordinating training schedules, including equipment setup & materials preparation
  • Ad-hoc tasks as required

About You:

  • An ability to gain understanding of specific software packages to input data including: Jira, Sharepoint, Oracle, MQIS (Manufacturing Quality Information System)
  • Effective stakeholder engagement and maintenance of positive relationships
  • Be a motivated self-starter with excellent time management skills
  • An ability to contribute in a team environment, providing support to meet deliverables and adding value in a collaborative environment
  • Sound written and verbal communication skills
  • High attention to detail and organisational and problem-solving skills
  • Flexible with a lean-in approach Computer literacy, with intermediate knowledge of MS Suite and SharePoint. Familiarity with Oracle is desirable
  • Ability to obtain and maintain Australian Government Security Clearance
  • International Traffic in Arms Regulations (ITAR) are applicable and as such, your nationality may be a factor in determining your suitability for this role
