Job Description
The Role
The Events Administrator will be crucial for the delivery of ADS’s public affairs activities, working closely with the organisation’s public affairs team to deliver a high-quality political engagement programme, including at major events, party conferences, and other meetings and engagements.
This opportunity will suit an individual with strong administrative and clerical skills and the ability to support and administer meetings, events, political tours and other events is essential.
The role will help with the administration of political engagement programmes at key events such as Farnborough International Airshow and DSEI (providing support to the public affairs team), assisting with minute taking and booking meetings, handling room and catering requirements, and administering (but not agreeing) sponsorship agreements.
This role is ideal for someone seeking a stable, structured administrative position within a public affairs environment. The Events Administrator will work in our London office on a full-time, hybrid working basis, with occasional requirements to support external events across the UK. And will report to the Senior Public Affairs Adviser.
The Candidate
We are looking for an Events Administrator with strong project management skills and the ability to coordinate all aspects of event planning from start to finish.
The ideal candidate will be highly organized, detail-oriented, and capable of managing timelines and logistics to ensure seamless delivery of events.
You should be proactive, able to handle multiple priorities, and work collaboratively with internal teams and external suppliers to create exceptional experiences.
You will be highly organised and proactive individual with exceptional administrative and secretarial skills.
The ideal candidate will demonstrate the ability to work independently, exercise sound judgment, and adapt to changing priorities while meeting tight deadlines.
Strong written and verbal communication skills are essential for liaising effectively with internal teams and external stakeholders.
You will be confident in managing multiple tasks, prioritising workloads, and maintaining structured workflows.
Experience in calendar management, meeting coordination, event or travel arrangements, and minute-taking is key, along with proficiency in producing clear, actionable meeting notes.
The role requires handling sensitive information with discretion, maintaining accurate digital records and reports, and ensuring compliance with data protection regulations.
Advanced skills in MS Office Suite and familiarity with CRM systems are expected, as well as the ability to anticipate needs, resolve issues promptly, and support smooth business operations.
The Contract & Benefits
Contract; Permanent, fulltime role, Monday to Friday, 37.5 hours per week
Location; Hybrid working- 3 days in the Farnborough office and 2 days from home
