Job Description
About the role
As our Workplace Manager, you will ensure the smooth running of The Adaptavist Group’s offices across multiple sites across the UK and help drive the culture and feel of the office. These locations include London, Norwich and Leamington Spa.
You'll need the confidence to undertake administrative tasks and coordinate office activities, events, and operations to ensure compliance with company policies and provide your colleagues with adequate support to work efficiently.
As our UK Workplace Manager, you'll oversee our London office in Shoreditch. We're looking for someone to be experienced in prioritising, demonstrating initiative, and working with minimal supervision. They will be self-motivated and trustworthy, and, where necessary, will line-manage/supervise Office Managers, Office Coordinators, and Office Cleaners.
What you'll be doing
Oversee operations across a core TAG location, as well as provide oversight across other offices in the same region
Ensure the smooth running of the office on a day-to-day basis
Be the first point of contact for visitors to the office
Liaise with staff, suppliers and clients
Implement and maintain procedures/office administrative systems
Coordinate meetings and any catering or refreshments
Coordinate any office events and any catering or refreshments
Keep track of office supplies and place orders when necessary
Keep a detailed record of spend, overheads and anticipated costs for the office
Manage agendas / appointments, etc., for the team where needed
Manage phone calls and correspondence (e-mail, letters, packages, etc.)
Assist colleagues whenever necessary
Ad-hoc administrative projects, including assisting with the initial set up, furnishing of interiors and logistics of the new office space and research for future office spaces to rent or buy on behalf of The Adaptavist Group
Report on attendance and use initiative to encourage staff to increase office attendance.
Qualifications
What we're looking for
Proven experience as a Workplace Manager, Office Manager, or relevant role
Familiarity with office management procedures and basic accounting principles
Knowledge of Google Suite and office management software, particularly with Google Sheets or Microsoft Excel
Self-starter, independent thinker - able to work autonomously
Personable, helpful, professional, kind, and honest attitude
Time management and personal organisational skills
Comfortable working collaboratively, both face-to-face and through online tools such as Zoom, Microsoft Teams, Slack, Skype, etc
Strong organisational skills and interpersonal skills
Creative approach to solving problems
A couple of nice things to have
Experience within a fast-paced, fast-growth Tech start-up environment
Fluent in English and one of our regional office location languages (Greek, German, Croatian, Spanish, etc)
