
Port Operations Billing Agent | UK & Spain
Job Description
Join our team as a Port Operations Billing Agent where you are expected to manage the end-to-end billing process for port agency services, ensuring accuracy, compliance, and timely invoicing for both suppliers and clients. In this role, you will also have to reconcile suppliers and clients’ statements and organise documentation, providing administrative support to the Billing Manager. Based in Spain (remote), you will ensure an excellent service for our cruise line clients.
ABOUT THE JOB
- Receive and review supplier invoices and validate them against purchase orders, contracts… and ensure correct coding and allocation in the invoicing system. Manage prepayment to suppliers and send the invoices for payment.
- Prepare client invoices based on agreed tariffs and services rendered. Identify the correct port tariffs and fees to maximise the call’s profitability.
- Organize and maintain all back up documentation.
- Generate and send the invoices to the clients, loading them into their accounting system with their required split and supporting documentation. Maintain accurate records of all invoices issued and received.
- The billing agent will also reconcile supplier and client accounts to ensure accuracy and solve any query/dispute that they may raise.
- Ensure adherence to internal controls and financial policies.
- Collaborate with the operations team and provide administrative support to Supervisor and/or manager when needed and requested.
ABOUT YOU
- Excellent communication skills in English language, both written and oral.
- Good academic background, with strong experience in administration.
- Desirable, previous experience in the ship industry.
- Previous experience working on finance and invoicing.
- Problem solving and analytical skills.
- Multitask and prioritization ability.
- Good office administration and organizational skills with a keen eye for attention to detail.
- Knowledge of Microsoft Office programs.
