The Operations Coordinator is responsible for supporting end-to-end operational processes across order management, logistics, and system coordination. This role ensures efficient processing of B2B and D2C orders, maintains compliance and audit readiness, and drives continuous improvement across operational workflows, including sampling processes.

How You Will Contribute

Order Management & Fulfilment

  • Manage the end-to-end order process from receipt through to fulfilment and delivery for both B2B and D2C customers.
  • Enter and process orders via ERP systems, EDI, email, and customer portals.
  • Ensure all orders are processed accurately and delivered on time, in line with SLAs and customer requirements.
  • Monitor orders throughout the lifecycle and resolve any issues impacting fulfilment or delivery.
  • Create and manage returns (RMA/SRO) and associated documentation.

Logistics & Coordination

  • Coordinate transport, including booking shipments, managing imports/exports, and handling urgent deliveries where required.
  • Work closely with warehouse and transport teams to ensure on-time, in-full delivery performance.
  • Support co-packing operations planning and execution where needed.

Sampling Operations

  • Process and coordinate sampling orders efficiently and accurately.
  • Identify and implement improvements to streamline sampling workflows and reduce turnaround times.
  • Ensure visibility and tracking of all sampling activities.

Systems & Data Management

  • Monitor ERP systems and manage the alert inbox, investigating and resolving errors promptly.
  • Maintain accurate system data across orders, inventory, and shipments.
  • Generate and analyse reports on order volumes, fulfilment performance, and operational KPIs.

Cross-Functional Collaboration

  • Act as a key point of contact between Sales, Marketing, Finance, Customer Experience, and Operations teams.
  • Support customer queries and resolve order-related issues in collaboration with internal teams.
  • Work with Finance teams to resolve invoices, pricing, and credit queries.
  • Support business initiatives, promotions, and cross-functional projects.

Compliance & Documentation

  • Ensure all operational activities follow internal SOPs and compliance requirements.
  • Maintain accurate and up-to-date documentation to ensure audit readiness at all times.
  • Support import/export compliance and documentation requirements.

Continuous Improvement

  • Identify opportunities to improve operational processes, efficiency, and customer experience.
  • Contribute to process optimisation initiatives across order management, logistics, and systems.
  • Proactively identify risks or inefficiencies and implement effective solutions.

What You Will Bring

Skills & Experience

  • Experience in operations, supply chain, eCommerce, or a similar coordination role.
  • Strong understanding of order management systems (ERP) and operational workflows.
  • Experience with B2B and D2C order processing and fulfilment.
  • Knowledge of import/export processes and compliance requirements.
  • Strong analytical skills with experience in reporting and data analysis.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Experience with platforms such as Shopify, Magento is a plus.
