Office Coordinator

What you will be responsible for:

Office & Facility Management

  • Coordinate workspace planning and office layouts to optimize space utilization.
  • Oversee office maintenance, housekeeping, and vendor coordination for essential services.
  • Ensure health, safety, and environmental compliance within the office.
  • Support the organization of meetings, events, and corporate gatherings.

Car Fleet & Transport Coordination

  • Manage company car fleet operations, including vehicle allocation, fuel cost tracking, and usage reporting.
  • Coordinate vehicle maintenance, insurance, and compliance with company policies.
  • Ensure an efficient reimbursement process for fuel expenses via fuel cards, company credit cards, or expense tools.
  • Act as the main contact for car fleet-related inquiries and vendor management.

Procurement & Administrative Support

  • Order office supplies and manage inventory through internal procurement platforms.
  • Handle correspondence, appointment scheduling, and general office administration.
  • Support vendor coordination, invoice processing, and contract administration.

Workplace Engagement & Employee Experience

  • Serve as a key contact for facility-related inquiries and employee needs.
  • Support initiatives to enhance office experience and engagement.
  • Collaborate with HR, Finance, and other teams to drive workplace improvements.

What you will bring to us:

  • Bachelor’s degree in Business Administration, Facilities Management, or a related field (completed or in progress) or equivalent experience.
  • Minimum 2 years of experience in office administration, facilities management, or business support within an international environment.
  • Fluency in Polish (this role requires daily interactions in Polish).
  • Fluency in English (for attending business meetings and working in an international environment).
  • Experience managing company car fleets or transport coordination is highly desirable.
  • Strong problem-solving skills and ability to work independently.
  • Open-minded and proactive approach to case resolution and operational improvements.
  • Excellent organizational and multitasking skills to manage diverse responsibilities.
  • Valid Category B driving license (must-have).
