Role Purpose:

APM Terminals has embarked on an exciting new growth strategy. Based on its vast experience and internationally recognized processes we aim to have a best-in-class business implementation (BIM) setup through standardized and optimized clear processes whilst managing an agile team to enable delivery. This setup will enable successful evaluation and delivery of various types of projects including large new capital investments, integration of mergers and acquisitions and expansions of existing facilities.

Our ability to deliver projects firstly to our business needs as well as within their set parameters of HSSE, quality, scope, time, and budget in a total integrated manner, delivers real value to the company. We build on and aim to continuously improve our project management framework to increase the incremental value delivered to the APM Terminals business.

This Front-End Planning Lead (FPL) role forms an integral part in the development of bids for growth opportunities in building new terminals as well acquiring and/or expanding existing facilities. As key deliverable, the FPL will contribute with the development and quality assurance of integrated project schedules to competitive bids and internal investment opportunities that enable our planned investments in Growth to be delivered successfully and unlock the desired business value over time. This entails engaging with various stakeholders across disciplines, soliciting and challenging their inputs while embedding work package activity dependencies, risks and opportunities across multiple concurrent opportunities.

The purpose of the role is to deliver a key element of a business case, based on a coherent set of critical information across operational, business, technical, and project execution related domains, so that informed decision-making can be made during the bid preparation and successful bids can smoothly transition into execution and be taken over by the dedicated project team on the ground.

This requires a project planning SME who is a proficient communicator across all levels within an organization, paired with advanced technical project planning skills in a dynamic, complex stakeholder environment. The FPL uses their sound business acumen as well as an affinity with technical content to identify misalignments or points of attention and allow areas of risk to succesful delivery as planned to be understood and challenged. Finally, the FPL is able to evaluate and work at an appropriate level of detail to align with the sensitivities of a given bid, its preparation stage and time available, and its underlying business case.

Principal Accountabilities and Responsibilities:

General

· Develop the master integrated project schedule for various projects in advanced bidding and early stage execution phases, in compliance with APMT standards.

· Integrate the overall master baseline schedule using inputs from consultants, contractors and suppliers (where applicable) in line with company standards and strategies.

· Maintain and progress the project master schedule(s) as required during early works stages, identifying and analyzing delays and working with subject matter experts to develop mitigations, schedule optimization and alternative delivery strategies .

· Clearly identify critical interfaces and dependencies in the project master plan for appropriate management of related risks and opportunities, and keep the relevant stakeholders informed about upcoming milestone deadlines

· Undertake delays analysis and work with subject matter experts to develop mitigations, schedule optimisation and alternative delivery strategies.

· Leading project scheduling workshops with the project core team and selected functions from extended team during early works stages

· Directly liaise with the internal and third party stakeholders (i.e. consultants, contractors and suppliers); as needed, to obtain insight to potential delays, validate data integrity and support schedule improvement initiatives.

· Monitor early works procurement delivery status and vendors schedule in a transparent manner.

· Support in the implementation of visual management tools to communicate the status of key activities, critical path, interfaces, milestones and deliverables, in a timely manner.

· Enable the Change Management process post project approval by establishing a sounds basis for future time impact analysis and schedule updates.

· Develop the high level ‘what-if’ scenario planning in support of project decision-making when it is necessary.

· Development of reporting materials for internal and external stakeholders

· Maintain meeting schedule and actions records.

· Support risk assessment from time impact perspective and integrate required contingencies and/or mitigations into the project schedule.

· Prepare a clear schedule handover plan for transferring the early-works / bid schedule to the execution team's Project Controls team, including the project planner and support during the first weeks of ownership by the project delivery team.

Controls & governance

· Implement and uphold APMT’s WBS, scheduling, EVM and reporting standards.

· In line with corporate standards, implement best in class planning and scheduling practices across the project and ensure they are consistently deployed by all parties.

· Monitor and assess scheduling opportunities, risks and subsequent mitigation strategies, and track such risks through input and updates into the project risk register.

· Assess change impacts to the schedule and incorporate these as they are approved via the project governance.

Communications

· Ensure clear communication is maintained between core and extended team members involved in developing the project and transitioning it into execution, as well as senior management for main changes to project scheudule and their underlying drivers

· Meet regularly with (the planners of) consultants, contractors and suppliers to maintain full alignment

· Liaise with and collect input from internal APMT functional representatives to ensure the scope of works is included in the schedule, and any interdependencies with other functions are clearly understood between these.

Interfaces

· Work closely with technical, operational and business integration team members ensuring that:

- dependencies from elements outside the team’s responsibilities (e.g. operations, commercial, legal, HR, etc) affecting asset delivery are well understood, and

- the Interface, Civil, Equipment and IT Managers understand impacts of schedule changes on asset delivery.

· Works with the Head of Bid Team, Heads of Portfolios, Project Directors and Bid Team Project Control Leads to ensure seamless alignment of the project master schedule with the wider project controls disciplines (cost, risk, change, scope, assumptions, reporting etc.)
