What does it mean to be our PMO Analyst at Instant Impact? As our PMO Analyst, you’ll be the go-to coordination wizard behind our transformation and delivery engine—bringing structure, clarity, and pace to everything we do. This role will typically operate from 9am to 6pm GMT, so the ideal candidate should be comfortable working European hours. You’ll support high-impact projects from behind the scenes: updating dashboards, driving tooling adoption, managing governance, and making sure our data, processes, and documentation are top-notch. This is a brilliant opportunity for someone who’s got their PMO foundations in place and wants to accelerate fast across global projects in a fast-moving business. Working across teams and business functions, you'll bring clarity, pace, and structure to our transformation journey—making sure every project delivers value. It's a role for someone who loves solving problems, thrives in fast-moving environments, and wants to shape how we scale for the future.

Key Responsibilities (but not limited to)

Driving Transformation & Delivery

  • Build and run our PMO hub—bringing structure, clarity, and flow across tech, implementation, and project team
  • Be the go-to coordination point for internal transformation projects, keeping everyone aligned and moving
  • Create and maintain clear, easy-to-follow documentation—from SOPs and process maps to templates and registers
  • Keep project plans, dashboards, and delivery milestones up-to-date and on track (internally and with clients)
  • Take ownership of document management using Notion and SharePoint—ensuring version control and easy access

Championing Tech Adoption & Tooling

  • Become a go-to expert in our tech stack—leading the charge on usage, training, and consistent implementation
  • Organise and lead engaging tech demos, gather feedback, and support reviews—all while helping shape co-branded content
  • Track tool usage across accounts to ensure we stay compliant, aligned, and within budget

Data, Reporting & Governance

  • Pull together and analyse key project data—timelines, budgets, risks, and progress—to keep everyone informed
  • Keep PMO processes tight by ensuring templates and workflows are followed consistently
  • Boost visibility and trust by contributing to our Client Love Index—driving excellence in project delivery
  • Support the DPO with data protection tasks, including security compliance and ISO27001 certification readiness

Operations & Admin Support That Makes a Difference

  • Help with forecasting and resource planning, and get hands-on with simple automation initiatives
  • Be a right-hand support to Transformation Project Managers—bringing energy and structure to project execution
  • Lead onboarding/offboarding processes and tool training to keep our teams equipped and confident
  • Be the guardian of our internal tech licenses and maintain hubs for data protection, insurance, and business-critical info

  • Clear Communicator – Whether it’s a stakeholder update or a quick Slack message, you communicate with clarity and professionalism.

Bonus Points If You Have...

  • Experience with project tools like Notion, Lucidchart, or Kanban boards
  • Familiarity with delivery frameworks like Agile, PRINCE2, or Waterfall
  • Exposure to transformation, consulting, RPO, or recruitment environments
