Job Description

We have an opportunity for a proactive individual to join our Product team as a Books Administrator, on a fixed term contract, to support the integration of a portfolio of book titles into our existing processes and systems. You will support the transition of titles into our systems and partnerships, ensuring seamless transitions, maintaining high standards of metadata, and supporting various stakeholders throughout the process.

You will work closely with our Book Sales team as well as our Content Solutions team, supporting the transition of titles into Emerald systems and ensuring that data and workflows align with our working practices. You’ll work closely with our agents, aggregators and distributors to support the transition of titles over the course of an anticipated 9 month period.

Location: We perform at our best when we feel trusted and are able to choose an approach to working that suits us best, which is why we are a remote-first company. However, we also believe in face to face collaboration, and our UK colleagues meet once a month for team time and quarterly for company get togethers in our Leeds office, so we ask that you be within a commutable distance that you are comfortable with in order to attend the office on those occasions.

Day to day we’ll trust you to:

Data Management & Metadata:

  • Integrate frontlist titles into Emerald systems.
  • Update metadata for backlist and forthcoming titles to meet BIC accreditation.
  • Set up royalties in Onix and support Finance.

Bookstore Management:

  • Manage title setup on Emerald’s third-party bookstore via Glassboxx.

Aggregator/Agent/POD Management:

  • Notify and transition agents/distributors as needed.
  • Onboard Moore titles with Emerald agents, creating overview and information packs.
  • Review and transition aggregator agreements with legal/channel manager.

Distributor Engagement:

  • Oversee title onboarding with Wiley and Ingram Publisher Services, including data sharing and testing.

General Administrative Support:

  • Notify customers of acquisitions and impacts.
  • Update Master List for Moore titles.
  • Communicate with customers and authors about sales processes and expectations.
  • Reconsent and tidy the marketing database.
  • Provide administrative support to the book sales team as needed.

You’ll need to have:

  • Proven experience in a similar administrative role, preferably within the publishing industry.
  • Strong organizational and project management skills.
  • Excellent communication and interpersonal skills.
  • Technical proficiency in using software and systems, including Office applications. Knowledge of Books Onix or TrackIt would be a bonus.
  • Attention to detail and ability to manage multiple tasks simultaneously.
  • Knowledge of BIC accreditation standards is a plus.

We need to ask employees of Emerald Publishing what it's like to work there before we verify the company FlexScore® and compile employee satisfaction ratings.

The FlexScore® is the result of a rigorous 2-step verification of a company’s flexibility

First we assess the flexibility options Emerald Publishing provides and then we anonymously survey a statistically significant proportion of their employees to make sure Emerald Publishing is as flexible as they say they are. Our assessment is based on the six key elements of flexibility: location, hours, autonomy, benefits, role modelling and work-life balance.

We ask the hard questions so you don’t have to.
