Personal Assistant to the Customer Operations Director

We have a fantastic opportunity for an Executive Personal Assistant who will directly report to the Customer Operations Director .The post holder will be involved in every aspect of the day to day workload of the director on both a business and personal level. The successful candidate will be self-motivated, methodical, well organised and possess excellent communication skills with the ability to liaise with staff, suppliers, clients, tenants and stakeholders at all levels within the business and the wider arena.

About the Role:

  • As a Personal Assistant, you will undertake administrative and general office duties to ensure the smooth running of both the Customer Operations team and an additional team within British Gas Energy
  • The role holder will need to operate in a highly responsible and confidential nature and will have delegated responsibility for some departmental administration.
  • This role requires a high level of tact and integrity due to the frequency of senior level internal and external contact and regular exposure to confidential data.

Key Accountabilities

  • Diary management, including coordinating arrangements for meetings and conferences
  • Manage the two senior leadership team members travel, including coordination, booking of travel arrangements and planning itineraries as required.
  • Provide support and administration to the wider teams as required
  • Organise events for the team e.g. team meetings, team building events
  • Support with colleague engagement activity such as roadshows and townhalls
  • Communicate managers instructions or requests to relevant individuals and / or teams
  • Organise and maintain files of managers correspondence and record, following up on any pending matters
  • Respond to routine requests for information and refer more complex requests as appropriate
  • Screen emails and answer routine questions and respond to correspondence not requiring manager’s attention.
  • Order and arrange payment of a variety of goods and services required by the relevant managers
  • Maintain and monitor departmental budgets ensuring prompt and accurate payment of invoices and expenses
  • May be asked to cover for other PAs within British Gas Energy as required from time to time to cover periods of holiday or absence

About You:

  • Experience of providing senior level support in a complex matrix organisation
  • Experience in liaising effectively with senior executives internally and externally
  • Significant proven experience of operating in a similar role that requires a high level of commercial understanding within a complex environment
  • Experience of working under pressure and to tight deadlines
  • IT skills – Advanced Microsoft Office, particularly Word, PowerPoint and Outlook
  • Ability to work pro-actively and independently with confidence
  • Assertive, resilient and able to manage strong personalities, strong emotional resilience
  • High level of confidentiality and initiative
  • Highly organised, able to prioritise and forward plan and remains calm under pressure
  • Good interpersonal and communication skills (spoken and written) with a pleasant, professional manner
  • A self motivated individual with the ability to work alone under minimum supervision and direction
