Salary: £30,000 + depending on experience

Job Description:
We are seeking a highly organised and proactive Administrator to support the Group Pension teams. In this role, you will provide a wide range of administrative support, helping to ensure the smooth and effective operation of BAE Systems pension arrangements. You will coordinate meetings, manage travel and expenses, handle incoming and outgoing post, maintain accurate records, and support key pension governance activities. Working with colleagues, Trustees, advisers, providers and member representatives, you will build solid relationships and deliver a high standard of service in a confidential and professional environment.
Core duties:
- Provide administrative and secretarial support to the Group Pension teams
- Manage incoming and outgoing post, ensuring correspondence and key documentation are distributed accurately and securely
- Coordinate meetings, including scheduling, room bookings, catering attendee lists and security requirements for external attendees.
- Manage travel and accommodation arrangements for senior team members, Trustees and member representatives
- Process and coordinate travel and expense claims for Trustees, member representatives and senior colleagues
- Support pension governance activities, including Trustee meetings and the handling of confidential records and documentation
- Monitor shared mailboxes and assist with administrative processes, record management and document retention activities
- Maintain and update policies, procedures and records to support the effective operation of UK pension arrangements
Essential Skills:
- Previous experience in an administrative or secretarial role, preferably in an office enviroment
- Proficient in Microsoft Office applications, including Outlook, Word, Excel and PowerPoint
- Excellent communication and stakeholder management skills, with the confidence to engage professionally with senior stakeholders
- Pensions knowledge would be advantageous but is not essential
The Group Pensions Team:
As part of the Head Office Group Pensions team, this role offers the opportunity to work within a collaborative and supportive environment that plays an important part in the governance and administration of BAE Systems pension arrangements. Reporting to the Head of Defined Contribution Pensions, you will work closely with Trustee and Member Services colleagues, Defined Benefit Scheme Trustees, Pensions Finance and member representatives, providing essential support to a wide range of stakeholders. This is a varied and rewarding position that offers exposure to senior leaders, Trustees and external advisers, making it an excellent opportunity for someone who enjoys building relationships, taking ownership of a broad range of responsibilities and developing their career within a global organisation.
