About the OPPORTUNITY

We have an exciting opportunity to join us as a Business Support Officer to work within our Engineering Function. Reporting to the Head of Engineering and Manufacturing – People Development, the Business Support Officer is responsible for supporting and working collaboratively with all levels of the Engineering People Development team and collaborating with other Departments and Stakeholders as required.

We embrace flexible work arrangements at BAE Systems Australia, such as working a 9-day fortnight and hybrid working. This role will be based out of our Ed Parks office in South Australia.

Key responsibilities will include:

  • Coordinating meetings as required, including logistics of meeting rooms, presentations, virtual access, site access and catering
  • Arranging domestic and international travel, inclusive flights, accommodation, transport and visit requirements in line with company policy
  • Scheduling of Technical Training courses in consultation with the course facilitators, including logistics of meeting rooms, training materials, virtual access, site access and catering
  • Managing Technical Training course enrolments through Spark in consultation with the Engineering Training Lead
  • Preparing Training reports using data from Spark
  • Assisting the Engineering Training Lead to track training expenditure
  • Undertaking calendar and email management on behalf of the Head of Engineering – People Development
  • Recording and tracking training for engineering graduates and other training cohorts
  • Purchasing of stationery, consumables and office supplies as required
  • Raising purchase orders, process payment of invoices and reconcile credit cards in line with company policy
  • Assisting with document control, document storage and provide team site administration
  • Escorting and supervising visitors and providing customer service
  • Covering periods of leave for other administrators within the Function when required
  • Other administrative support to the People Development team
  • Ad hoc tasks as requested

About YOU

You’ll have:

  • Excellent communication skills required, both written and verbal
  • A lean in approach and be team orientated with
  • Excellent time management skills and be a motivated self-starter with
  • High attention to detail
  • Organisational and problem-solving skills
  • An ability to work and liaise effectively with internal and external stakeholders at all levels
  • A flexible and can do attitude
  • Computer literacy with advanced knowledge of MS Suite along with SharePoint & Oracle (desirable)
  • Previous experience in a similar role
  • Eligibility to obtain and maintain Government Security Clearance
