Role title: IoT Personal Assistant (PA)

Role purpose:
The Personal Assistant will provide high quality, proactive, professional and confidential PA and administrative support to leaders in the IoT team. Playing a key part in supporting the Senior Leader and acting as a coordinator for the whole team’s activities. They demonstrate a good understanding of concepts and procedures within their own discipline and ensure a high quality of services/tasks are delivered. Typically reports to the Head of.

What you’ll do

Key accountabilities and decision ownership

  • Operates under tight deadlines whilst building solid relationships with cross-functional partners and other administrators
  • Demonstrates extensive diary and calendar management in a timely and professional manner;
  • Ensures Leader(s) has full preparation for all meetings, including agenda preparation, pre read and follow-up actions;
  • Requires a good understanding of practices and procedures, including, but not limited to, travel arrangements, system approvals, expenses, purchasing orders and tracking annual spend and owns these activities for the team;
  • Supports on ad-hoc requests/cycle requests including, but not limited to, coordinating team events, forums and meetings; arranging any necessary travel / accommodation / catering requirements as needed by team members and / or delegates;
  • Effective Task management, dealing promptly, proactively and professionally with all actions, tasks, correspondence, e-mails, telephone calls;
  • Acts as professional point of contact on behalf of Leaders to internal and external visitors;
  • Uses communication skills to exchange ideas and information in a concise and logical way with sensitivity to the needs and expectations of the audience;
  • Provides informal guidance and support to new team members when required;
  • May act as the systems/tools expert.

  • Ability to handle multiple tasks, multiple sources of information and multiple customers via different means of interaction at the same time, prioritising around customer needs.
  • Positive & can-do attitude, resilient with the ability to remain calm when under pressure.
  • Flexible toward work requirements and maybe necessary to work additional hours when required.
  • Proven experience at successfully supporting Senior Executives
  • Great influencing ability and confident challenging when appropriate.
  • Confident and discrete work approach
  • Experience of working in an international, culturally diverse environment
  • Evaluates, learns and adapts to change and shifting demands in different situations.
  • Able to use own initiative and work unsupervised

Must have technical / professional qualifications:

  • Highly proficient secretarial skills
  • MS Office applications, especially Outlook, Teams, Powerpoint
  • Fluent in English and for some leaders fluency in European languages nice to have (e.g. German, Spanish, Italian)
