Job Description:
As a Procurement Coordinator you will play a critical role in ensuring the seamless supply and management of packaging materials and consumables to support Just-In-Time production and overall factory performance. You will balance supplier relationships, inventory accuracy, and logistics coordination to enable peak operational efficiency while maintaining compliance with Mars quality, safety, and sustainability standards.
What are we looking for?
Education & Professional Qualifications
- Bachelor’s degree in Supply Chain Management, Business Administration, or related field; APICS CPIM designation preferred.
- Minimum 5 years’ experience in JIT production planning, procurement, operations planning, and inventory management.
Knowledge / Experience
- Previous experience in food/feed processing industry preferred.
- Strong skills in communication, persuasion, cost management, self-motivation, teamwork, compliance, mechanical aptitude, and leadership.
- Experience in customer service or related fields preferred.
- Demonstrated leadership capability or experience leading with influence.
- Advanced proficiency in Microsoft Office Suite and intermediate skills in Power BI.
- Excellent written and verbal communication, coaching, and interpersonal skills.
- Prior experience as a procurement coordinator required.
- Experience in a Total Productive Maintenance (TPM) environment preferred.
Physical & Work Environment Requirements
- Physically able to climb ladders and stairs, work at heights/on platforms, and lift up to 55 lbs.
- Availability for on-call crisis management after hours as required.
- Work environment is approximately 80% office-based and 20% in a non-temperature-controlled warehouse.
What will be your key responsibilities?
Planning & Supply Management
- Execute all Packaging & Consumables planning activities within budget, aligned with JIT and Pulled Production concepts, security stock, client service levels, cost control, productivity, preventive maintenance, and quality standards.
- Manage supply of local and overseas Packaging & Consumables based on sales forecasts, inventory status, supplier and packaging specifics, production schedules, warehouse capacity, and special events to meet daily factory needs.
- Maintain freight lanes for Packaging & Consumables without supplier-driven routes to the factory.
- Ensure timely and accurate payments and RC engagements with suppliers in compliance with contracts and company policies.
Inventory & Logistics
- Own inventory accuracy and control for all Packaging & Consumables onsite and at 3PL warehouses, including cyclical and period-end inventories, DRPO levels, and inventory cost impact.
- Arrange and manage factory reception schedules for inbound Packaging & Consumables, proactively resolving issues to protect fill rates.
- Manage freight for palletized Packaging & Consumables from 3PL storage.
- Collaborate with Commercial, Quality, and Operations teams to manage short-dated or overstocked items, providing disposition updates to Quality and Finance.
Continuous Improvement & Reporting
- Drive continuous improvement initiatives to optimize SMI target levels, balancing service levels, inventory carrying costs, and run efficiencies using advanced analytics.
- Record and maintain accurate data in Navision or other allocated systems, including production records, inventory extractions, and corrections.
- Coordinate with Finance on coding requirements related to raw materials, packaging, recipes, consumables, in-process products, and finished goods.
- Support documentation needs across departments, including Purchase Orders, Invoices, Sales Orders, Blanket Orders, Contracts, and Freight POs.
Quality, Food Safety & Compliance
- Ensure compliance with ISO 9001, FSS/ISO22000 (Food Defense/Security), ISO 14001 (Environmental), Mars Standards, and related procedures.
- Support HACCP program and adhere to GMP-GHP standards.
- Execute oPrP procedures per SOPs and foster a continuous improvement mindset.
- Report pest activity and manage quality issues in coordination with NA Purchasing Department to maintain optimal supply chain quality and supply.
Collaboration & Stakeholder Engagement
Internal Partners:
- Production Scheduler, Packaging & Consumables Receiving, Raw Material Supply Coordinator, Warehouse Coordinator, Shift Lead, Quality Food & Safety (QF&S), Grinding Coordinator, Regulatory Affairs, 3PL partners.
External Partners:
- Commercial Supply Team, Regional VCO, Packaging & Consumables Suppliers, Transportation Companies, 3PL external storage providers.
This role requires balancing flexibility and firmness to maintain strong supplier and logistics partnerships while ensuring resource availability aligns with factory demands. Statistical inventory modeling and strong inventory management skills are essential for success.
