This position pays $21-$23/hr ($43,680 - $47,840 per year) plus annual bonus.

The Associate Coordinator is responsible for providing administrative support with overseeing the scheduling/timekeeping and training processes of M&M’S World. This role creates schedules, identify staffing issues and tracks training development plans for teams and individuals. In addition this role help support the recruiting, and onboarding for new associates.

Job Purpose/Overview

The primary focus of this role is to create an Unforgettable Guest Experience in accordance with Mars Retail Group brand standards, creating a world where everyone feels they belong.


The Associate Coordinator is responsible for accurate timekeeping, scheduling, and training processes. They may also help support the recruitment, and onboarding for new Associates.


This role is responsible for role modelling and being compliant to all policies and procedures relating to operational and all food safety and quality requirements.

Key Responsibilities

STORE OPERATIONS
• Adhere to all Standard Operating Procedures
• Complete and deliver strategic schedules that are mutual to both the business and Associates needs to help ensure a healthy work life balance
• Identify and track the training and cross-training needs and gaps of the business, followed up with maintaining all proper documentation
• May lead, coordinate, and facilitate the onboarding, peer, and education programs
• Responsible for all aspects of accurate timekeeping, including maintaining integrity and functionality of the time clocks and timekeeping system
• Support leadership with requests from their direct reports
• Responsible for informing leadership when re-joiners start to maintain training and quality standards
• Identify issues and patterns within Associate attendance, flagging risks to the leadership team
• Support presentation excellence to ensure all areas of the store are well prepared (neat clean, organized, operational and safe), allowing guests to shop with ease
• Aid to ensure the reduction of waste across all areas of the store
• Participate in auditing events to local and/or company standards
• Drive Quality to achieve compliance in food regulation, local regulation, and auditing

GUEST EXPERIENCE
• Champion a "Guest comes first" attitude through the power of fun, in an environment where everyone feels they belong, with a ‘One for All and All for Fun’ mentality
• Keep the store running smoothly from an Associate scheduling perspective, which allows guests to enjoy all experiences and areas without interruption
• Provide onstage support for guests and store Associates when needed

PEOPLE LEADERSHIP
• Support the development of a fun and inclusive environment where Associates feel comfortable being their true and authentic self at work, in a “fun kind” way to bring out the best in each other
• Partner with store leadership to track training for Associates to drive sales and operational objectives through engagement and productivity
• Uphold direct conversations and feedback with peers and Associates
• Maintain confidentiality of Associate and leadership information
• Exemplify The Five Principles and Associate Concept


M&M’S BRAND AMBASSADOR + PRODUCT KNOWLEDGE

• Store representative of the M&M’S brand, store products and experiences. This includes greeting and approaching all guests with a friendly and positive attitude
• Adapt approach and demeanour in real time to match the shifting demands of different situations throughout the store
• May be asked to support the brand with our classic characters in costume
• Internally, advocating for equity, inclusion, and diversity, role modelling allyship
• Externally, may relate the brand purpose, helping to enhance brand loyalty

BUSINESS RESULTS
• Review sales and operational results against business objectives
• May coordinate efforts for recruitment and Associate onboarding, supporting continual growth of the business
• Monitor and take action on staffing levels in relation to trending business results, enabling a healthy labor payroll percentage
• Actively works towards scheduling the right people in the right place at the right time to support the full store hitting all business metrics
• Support outlined strategies and plans through effective communication, and consistent accountability
• Responsible for upholding all Mars Retail Group policies and procedures, plus local regulation adherence, including attendance and timekeeping, food handling guidelines, Quality, loss prevention, and safety/emergency procedures


STAKEHOLDER MANAGEMENT + COMMUNICATION
• Empowered to push back on all Associate levels requests to maintain outlined ways of working and policies
• Responsible for meeting deadlines related to payroll, training, and scheduling
• Collaborate with Retail Workforce Specialist to maintain the integrity of the scheduling and timekeeping system, processes & policies, and ways of working
• Collaborate with others to address Associate payroll and work life balance concerns
• Aid in strengthening connections and consensus within the store team
• May collaborate with leadership to ensure all people practices, policies and procedures are fair and consistent
• Integral role in a strong and influential Store Leadership team
Other duties as assigned by the Leadership team.

Context and Scope

The role of the Associate Coordinator is crucial for the delivery of an Unforgettable Experience in our Retail stores, and for upholding the accuracy of timekeeping, scheduling, and training processes through the administrative side of the business.


Success is found in this role through independently dealing with ambiguity in a solution focused environment and working collaboratively with the leadership team and Retail Workforce Specialist, not excluding developing one’s own skills.

Job Specifications/Qualifications

Education & Professional Qualifications
Associates Degree preferred or equivalent
• Minimum 2 years’ experience coordinating associates schedules and training.

Key Experiences Desired
• Experience in a fast-paced environment
• Moderate computer IT skills
• Excellent oral and written communication skills
• Ability to organize and multi-task, particularly administrative duties


Key Experiences Preferred but not required
• HR coordinator experience
• Retail experience a plus
• Kronos or Timekeeping system


Other willingness requirements:
• Willingness to work in an environment with loud music and bright lights
• Willingness to work in an ever-changing and fast paced environment
• Willingness to step in at a moment’s notice to support the team, in any way needed

The base pay range for this position at commencement of employment is between the range listed below, however, base pay offered may vary depending on multiple individualized factors, including but not limited to, market location, job-related knowledge, skills, and experience. The total compensation package for this position may also include other elements, if eligible, including variable pay, medical and dental benefits, participation in 401k plan, and paid time off benefits. Eligibility for these additional elements depend on the position offered and the employee’s work schedule (i.e., part-time schedule, store associate). Details of participation in these benefit plans will be provided if an applicant receives an offer of employment.
