Purpose
Recruitment Associate role will be reporting the Recruitment and Cadet Manager and will provide Admin support to the Recruitment and Cadet Team. This role will assist in the management of End-to-End Recruitment of Officers, Ratings and Cadet functions in support to different stakeholders like Marine People Teams, Crewing, Fleet Group, Payroll and Vessel Management.
Key Responsibilities
Principal Accountabilities
Create, Post and Audit Job Descriptions based on hiring requirements and ensure all job ads are aligned with Company standards and tone of voice.
Conduct proper screening of applicants based on hiring criteria and by monitoring mails, sites and other online portals.
Schedule CES Tests/Exams for those qualified applicants based on CV Screening and monitor CES test/exam results.
Schedule Initial and Technical Interviews and monitoring status of applicants all throughout the recruitment process.
Schedule qualified applicants for PEME and monitor PEME results
Create profiles in the CRM application, SAP UID and update profiles for new hires and schedule new hires for Pre-Departure Orientation and APAT.
Create LRM profiles and send online trainings to new hires.
Ensure all legal and regulatory requirements of the new hires are updated and complied with for endorsements. Ensure all documents and requirements are validated prior endorsements.
Proper and timely endorsements of applicants for Crewing Planning Team.
Create and update Recruitment Monitoring Files and Reports.
All other Recruitment Tasks as assigned.
General Responsibilities
Ensure ongoing professional development through continuous self-assessment and improvement
Reinforce a culture of high performance in the team
Take initiative and take a proactive approach to review and improve procedures and HR issues
Maintaining strong relations with internal and external stakeholders
Execute task in a timely matter and in accordance with company procedures and values
In case of absence due to vacation etc., prepare a formal handover for follow up by colleagues to ensure continuity of service to seafarers and stakeholders
What we are looking for
Bachelor’s degree in Human Resources, Maritime Studies, Business Administration, or a related field
At least 2-3 years of prior experience in recruitment coordination, HR operations, crewing, or administrative support is preferred
Maritime or shipping industry experience is advantageous, though candidates from other fast-paced industries with the ability to adapt quickly are also welcome to apply
Strong attention to detail with a high level of discipline in ensuring compliance with processes, documentation, and regulatory requirements
Process-oriented mindset with the ability to follow through accurately and consistently, recognising the operational impact of errors or non-compliance
Highly agile and adaptable, with the ability to thrive in a dynamic, fast-paced environment with evolving priorities
Strong analytical and organisational skills, with the ability to manage multiple tasks simultaneously
Effective communication and stakeholder management skills
Proficient in using social media platforms like Facebook for marketing purposes and comfortable working with systems like COMPAS.
Demonstrates a collaborative mindset and strong alignment to a high-performance, team-oriented culture
