Job Description

As a Marine People Administrator, you will be the first and primary point of contact for all administrative processes related to our seafarers in East Europe. You will help deliver the moments that matter — from promotions and training to benefits, documentation, and exit processes — ensuring accuracy, compliance, and a world‑class people experience.

Key Responsibilities


Trusted Administrative Partner for Seafarers

  • Serve as the first point of contact for all administrative matters under Marine People East Europe.
  • Issue Seafarer Employment Agreements and ensure timely, compliant documentation.
  • Support seafarers and their families with employment‑related queries, including NOK contact and family support.
  • Manage country‑specific documentation requirements and marine benefits administration.


Driving Performance, Development & Talent Processes

  • Coordinate performance management activities, including:
  • Promotion pipeline reviews and follow‑up
  • Disciplinary and PIP process coordination
  • Support personal development and career guidance conversations.
  • Identify training needs and execute required training in alignment with the talent strategy.
  • Handle administrative tasks related to promotions and development.


Delivering Excellent HR Operations

  • Execute end‑to‑end HR administration across all areas of responsibility.
  • Manage exit processes and ensure smooth offboarding.
  • Support payroll‑related escalations and queries.
  • Ensure compliance with regulatory requirements and report to relevant authorities.
  • Participate in the duty phone schedule and act as back‑up for colleagues when needed.
  • Contribute to ad hoc projects and support the implementation of new systems.


Collaborating Across a Global Organization

  • Work closely with internal stakeholders including:
  • Marine People teams in East Europe, Asia, and the Philippines
  • Crewing, Strategy, and Solutions teams
  • Fleet Groups and Marine Standards
  • Maintain strong relationships with external stakeholders such as local authorities and third‑party agents.
  • Reinforce a culture of high performance and continuous improvement within the team.

Who We Are Looking For

You are a proactive, detail‑oriented HR or administrative professional who thrives in a fast‑paced, global environment. You bring structure, empathy, and a strong sense of ownership to your work, and you are motivated by supporting seafarers and ensuring operational excellence.
You bring:

  • Strong communication skills — clear, accurate, and empathetic.
  • Ability to manage multiple tasks simultaneously with a high level of accuracy.
  • Analytical skills to review data and make informed recommendations.
  • High integrity and the ability to maintain confidentiality.
  • Experience or interest in HR processes and employee lifecycle management.
  • Knowledge or willingness to learn about the international maritime industry.
  • Excellent English and Romanian communication skills (written and spoken).
  • A collaborative mindset and ability to work effectively across cultures and teams.
  • A results‑oriented approach with the drive to meet deadlines.
