Job Description

JOB SUMMARY

The Implementation Manager is responsible for overseeing and managing the successful transition of projects, services, or processes from one operational state to another. This includes transitioning new clients, service expansion, implementing new business processes, and ensuring seamless knowledge transfer while minimizing risks and disruptions. The role requires strong project management, operations acumen, stakeholder coordination, and problem-solving skills.

DUTIES AND RESPONSIBILITIES

Transition and Planning Management

  • Develops and executes transition plans, timelines, and milestones.
  • Ensures a smooth transfer of knowledge, processes, and responsibilities from existing to new operational teams.
  • Identifies potential risks and implement mitigation strategies.
  • Tracks progress and report transition status to stakeholders.

Stakeholder Coordination

  • Collaborates with internal and external stakeholders, including clients, leadership, and operational teams.
  • Conducts regular meetings and updates to align on transition progress and expectations.
  • Addresses concerns and ensure seamless communication between teams.

Process Documentation & Knowledge Transfer

  • Documents workflows, policies, and procedures for new or transitioned processes.
  • Ensures effective knowledge transfer through training sessions, workshops, and manuals.
  • Supports teams in adapting to new ways of working and resolving operational challenges.

Risk Management & Issue Resolution

  • Proactively identifies transition risks and develops contingency plans.
  • Monitors key performance indicators (KPIs) to measure transition success.
  • Troubleshoots issues that arise during transition and provide quick resolutions.

Performance & Continuous Improvement

  • Analyzes post-transition performance and identifies areas for improvement.
  • Gathers feedback from stakeholders to refine transition methodologies.
  • Implements best practices and lessons learned for future transitions

ACCOUNTABILITY

  • Transition planning and execution. Defines clear transition timelines, milestones, and deliverables
  • Stakeholder management. Collaborates with internal and external stakeholders, including leadership, clients, and cross-functional teams. Communicates transition plans, progress, and risks effectively. Manages expectations and ensure stakeholder buy-in.
  • Risk and issue management. Identifies potential risks and implement mitigation strategies. Resolves challenges that arise during the transition process. Monitors and tracks key performance indicators (KPIs) to measure transition success.
  • Knowledge transfer and training. Ensures proper documentation of processes and workflows. Facilitates training and knowledge transfer sessions for teams. Supports employees in adapting to new roles, tools, or structures.
  • Cost and resource management. Ensures transitions are executed within the approved budget. Optimizes resource allocation to maintain efficiency and cost-effectiveness. Monitors financial impacts and report cost variances as necessary.
  • Compliance and governance. Ensures all transition activities adhere to company policies, industry regulations, and contractual obligations. Maintains transparency and accountability throughout the transition process.
  • Continuous improvement and post-transition support. Conducts post-transition evaluations to assess performance and identify improvement areas. Gathers feedback from stakeholders to refine transition methodologies. Implements best practices for future transitions.

QUALIFICATIONS

  • Bachelor’s degree in Business Administration, Project Management, or a related field.
  • At least 3 years of experience in warehouse, distribution and/or transportation management, or at least 3 years in transition management, project management, or a similar role.
  • Strong project management and organizational skills.
  • Excellent communication and stakeholder management abilities.
  • Problem-solving and risk management expertise.
  • Ability to work under pressure and manage multiple transitions simultaneously.
  • Proficiency in MS Office, project management tools (e.g. MS Project).
  • Knowledge of ITIL, Six Sigma, or change management frameworks (preferred).
