Job Description

THE ROLE

We are looking for a friendly, approachable and professional Senior Office Management Specialist with a keen interest in Office Management. Your time will be spent in our Head Office which is spread over 6 floors and based in the Bower Building at Old Street. The primary purpose of the role will be working with and supporting the Office Services team in creating a comfortable and welcoming environment for our Farfetchers and visitors.

Your can-do attitude and eye for detail will contribute in ensuring the office is run efficiently and reflective of the FARFETCH brand. You will need to have a clear understanding of our company values and represent them through your work on a daily basis. This will be a challenging and varied role so we’re looking for a super pro-active and energetic candidate.

WHAT YOU'LL DO

  • Work closely with the Office Manager, to ensure both sites operate and align with the expectations of the department and needs of the business
  • Support and offer guidance to the Office Management team and help foster a collaborative, inclusive and efficient approach to delivering a world class experience within the office
  • Ensure the welcome experience and day to day running of both buildings is in keeping with the department's objective of providing a world class experience
  • Contribute to the evolving needs of the business and how and why we use the office space
  • Help define processes and new ways of working that support a hybrid approach to working
  • Build strong relationships and work closely with third party contractors to ensure all maintenance issues are dealt with in a timely manner
  • With the Office Manager, carry out daily checks of both buildings and execute resolving any issues that might arise
  • Ensure both buildings are kept clean, clutter free and representative of our brand.
  • Oversee the office supplies ordering across both sites including food & drink, stationary and office related equipment
  • Build and maintain a robust stock management system to ensure our procurement delivers value for money, a sustainable approach and limits downtime of daily offerings
  • Work closely with the Office Manager to deliver a varied, exciting and engaging food & drink experience to Farfetchers
  • Aligned with the department goals, make sure our Procurement compliance remains best in class, including raising of PO’s, editing of PO’s and ensuring the receiving of placed orders on the portal is completed in a timely manner
  • Support the Office Manager in the day to day management of our mobile phone estate including ordering of new and replacement devices, dealing with user issues and liaising with our third party provider
  • Take ownership of the teams rota to ensure time is managed effectively
  • Work closely with the People Team and Office Manager in rolling out and executing any workplace adjustments that might be required following DSE or Occupational Health assessments
  • Support the OM team in managing the reception desks as and when required.
  • Oversee the creation and management of our access control cards, maintaining up to date records following a strict auditing process

WHO YOU ARE

  • You have previous office assistant experience in a fast-paced environment
  • Highly organised and have a professional approach
  • A keen eye for detail and strong organisational skills
  • A passion for providing a world class experience to both internal and external customers
  • Able to use initiative and find creative solutions to any challenges
  • Clear and confident communicator who can liaise across all levels of seniority
  • You have experience in a customer-facing role
  • You are proficient in Microsoft Office and ExcelYou have an energetic and enthusiastic approach to work
