FMT Bid Coordinator – 15 Month Fixed Term Contract

Level 2, Senior Associate

Function: Clients & Industries

Sub Function: Strategy, Insights & Operations – Frameworks Management Team

Reporting to: FMT Operations Manager

Based in Birmingham

Role Purpose

Help EY identify and support new public sector opportunities by coordinating tenders, managing procurement portals and supporting bid teams through the full tender lifecycle.

UKI Clients and Industries is at the heart of EY’s ambitious growth strategy. The Frameworks Management Team supports Government and Infrastructure opportunities that come through government frameworks, dynamic markets and procurement portals.

As an FMT Bid Coordinator, you will support account teams bidding for new business opportunities by helping opportunities move smoothly from receipt and qualification through to bid submission and outcome. Your work will help EY maintain and improve its brand, support new revenue opportunities and contribute to Building a better working world.

Your key responsibilities

You will report to the FMT Operations Manager and provide practical bid coordination, tender management and stakeholder support across the Frameworks Management Team. The role is based in Birmingham, UK.

  • Track new business opportunities accurately through the full bid lifecycle, from receipt of tenders and listings, through qualification, bid submission and outcome decisions.
  • Manage the Tender Management System, day to day, ensuring opportunities, emails and requests from clients and account teams are actioned within agreed Service Level Agreement timescales.
  • Manage the EYTenders mailbox so opportunities and clarifications are circulated to the business within Service Level Agreements.
  • Manage more than 550 Government and Infrastructure client tender portals, including access, password files, portal search terms and CPV codes.
  • Process new opportunities using technology solutions such as EYDelivers so bid teams can access restricted tender documents.
  • Coordinate bid submissions on client tender portals, including deadlines, diary invites, portal walkthroughs, online questionnaires, confirmation of submissions and saving bid submission documents.
  • Manage clarification questions and procurement portal updates, distributing relevant information through the Tender Management System to account teams and bid teams.
  • Build a strong understanding of UK Government frameworks, dynamic markets, client procurement processes and the procurement lifecycle.
  • Provide professional and timely first and second level management of procurement related queries from external clients, bid teams, Pursuits Teams and internal stakeholders.
  • Develop, maintain and update process guides so queries can be handled quickly and efficiently.
  • Use initiative to identify and deliver process improvement projects that improve efficiency and the service provided to the business.
  • Build and maintain relationships across Clients and Industries, including Partners, Sales and Commercial Excellence teams, focus account teams, bid teams, Account Coordinators and external procurement teams.
  • Support colleagues across EYTenders and the Tender Management System during periods of higher volume, holidays and absence.

Skills and attributes for success

  • Strong organisation and time management skills, with the ability to manage competing priorities and deadlines.
  • Clear written and verbal communication skills, with confidence working with stakeholders at different levels.
  • Strong attention to detail and a focus on accuracy when handling bid information and stakeholder communications.
  • A proactive approach to problem solving, continuous improvement and positive change.
  • The ability to learn new systems, processes and procurement concepts quickly.
  • A collaborative, service focused approach when supporting colleagues, bid teams and wider stakeholders.

To qualify for the role you must have

  • Strong organisation and time management skills.
  • The ability to manage competing priorities and deadlines.
  • Clear written and verbal communication skills.
  • Strong attention to detail, accuracy and willingness to complete BPSS clearance.

Ideally, you’ll also have

  • Experience in bid support, procurement, business development, project coordination, operations or a similar administrative role.
  • Familiarity with UK public sector procurement, frameworks or Dynamic Purchasing Systems.
  • Experience supporting stakeholders across sectors, service lines or account teams.
  • Confidence using or learning technology solutions that support tender management and document access.
