Why this job matters
This role offers an opportunity to be part of BT Group’s new in house agency initiative as we bring the development of BT Group’s brand creative work into the organisation. As we transition creative delivery in house, we’re building new processes, workflows and collaborative ways of working that will shape how campaigns and content are created and delivered going forward.
As a Project Management Professional, you'll support the Project Manager to deliver creative projects. You’ll play an important role in helping the new in house model run efficiently, coordinating day to day activity, maintaining accurate project documentation, and keeping teams aligned as work moves from brief through to delivery.
Your organisation, attention to detail and proactive approach will help establish strong delivery foundations from the outset, enabling the Project Manager to focus on leading more complex workstreams and engaging stakeholders. By supporting the setup and smooth running of this new in house capability, you’ll contribute to a significant transformation in how creative work is developed — while gaining hands on experience in a growing, fast paced creative operation.
What you’ll be doing
Project Coordination & Delivery Support
- Support the Project Manager with day to day coordination of creative, digital, CRM and production workstreams.
- Maintain and update project documentation including timelines, RAID logs, status trackers and action logs.
- Ensure all project information, assets and approvals are stored correctly and follow agency standards.
- Prepare inputs for project status reports and operational updates.
Traffic & Resource Coordination
- Coordinate team workflows by assisting with scheduling sessions, monitoring resource capacity, and tracking task progress to keep projects moving smoothly.
Workflow, Governance & Process
- Ensure smooth workflow management by following agency processes and keeping all briefs and project information accurately logged and updated in workflow systems.
- Support the Project Manager in embedding new tools, templates or ways of working.
Supplier & Production Support
- Support smooth delivery by coordinating external suppliers and freelancers, tracking production timelines, and completing initial quality checks on assets across all channels.
Budget & Financial Administration
- Raise purchase orders, process invoices and update cost and expenditure trackers.
- Support monitoring of spend and flag unexpected costs or budget concerns to the Project Manager.
Quality Assurance & Approvals
- Ensure smooth workflow management by completing QA checks, coordinating approvals, and preparing assets for internal review and final delivery.
Communication & Stakeholder Support
- Provide organised project support by keeping teams informed, preparing documentation, and ensuring the Project Manager has accurate, up‑to‑date information.
The skills and experience you'll have under your belt
- Experience working in a project coordination or junior PM role within a creative, digital, marketing or similar environment.
- Demonstrated ability to organise work, manage documentation and support cross‑functional teams.#
- Familiarity with creative or digital production processes (e.g. design, UX, CRM, content, video, social).
- Experience with project management tools (e.g. Asana, Jira, Monday.com, Planner, Trello) and Microsoft Office.
Desirable
- Exposure to Agile or Waterfall delivery methods.
- Experience supporting website, digital content or other multichannel creative delivery.
- Basic understanding of budgeting, POs and invoice processes.
