Operations Coordinator

Role Description:
Reporting to the Ship Manager, the Operations Coordinator plays a critical role in supporting the Ship Management Team to ensure operational priorities are delivered efficiently and daily and weekly activities run seamlessly. Working closely with Area Managers, Coordinators, Ship Superintendents, and the Operations Project Manager, this role is responsible for coordinating key activities, meetings, workshops, and processes that enable the successful delivery of operational outcomes.
This is a dynamic and varied position that requires exceptional organisational skills, strong stakeholder engagement, and the ability to manage multiple priorities in a fast-paced environment.
Core Duties:
- Providing high-level administrative and coordination support to Ship Management, Project Management, Superintendents, Supervisors, Lead Teams, and broader project along with diary management for the Ship Manager.
- Providing responsive project and operational coordination support through reporting, scheduling, document management, action tracking, stakeholder engagement, and logistics coordination to ensure key deliverables are achieved.
- Acting as the primary point of contact between Facilities and building stakeholders, coordinating building works, upgrades, access requirements, and other site-related activities.
- Managing and coordinating onboarding and induction activities for new team members, including system access, equipment, documentation, compliance requirements, and liaison with Security.
- Raising of purchase orders, purchasing items and credit card acquittals inline with Company policy.
- Coordination of overtime to ensure deliverables are met.
- Identifying opportunities to streamline and enhance administrative systems, processes, and workflows to improve operational efficiency.
- Ad hoc duties as required.
About You:
- Previous experience in a similar role.
- Strong administrative, coordination, and organisational skills.
- A lean in approach and be team orientated.
- Exceptional attention to detail and the ability to manage competing priorities.
- A proactive approach to problem solving and continuous improvement.
- The ability to work independently while building strong collaborative relationships across teams.
- Strong communication, stakeholder engagement, and influencing skills, with the ability to collaborate effectively across diverse teams and organisational levels.
- Strong proficiency in Microsoft Office applications and SharePoint
- As a Defence security clearance is required for this role, applicants must be Australian citizens and either possess or be eligible to obtain and maintain appropriate clearances
